Corteva Agriscience is looking for an innovative, energetic, and transformational Senior Aircraft Scheduler/Finance Coordinator to join our Aviation team.
The Senior Aircraft Scheduler/Finance Coordinator will schedule Corteva Agriscience Aviation aircraft and crew based on information received from Executive Assistants. Make all necessary preparations for aircraft, passengers, and crew. Determine flight crew availability, qualification, and currency. Produce timely and accurate post flight reporting.
This individual will also serve as a contact for finance transactions involving Corteva Agriscience Aviation by maintaining records, producing reports, and interacting with vendors and internal procurement.
Primary Responsibilities - How will you help us Grow!
Senior Aircraft Scheduler Duties and Responsibilities
Work within Corteva Agriscience Aviation flight operations to maintain a culture of safety with efficient procedures that support customer service.
Recommend policies, processes, and procedures to enhance the Safety Management System (SMS).
Coordinate trip bookings with executive assistants and provide support including itineraries, trip updates, support services, etc.
Communicate flight assignments to crew.
Must be knowledgeable of appropriate and current Federal Aviation Regulations and company policies and remain compliant with them in all operations.
Coordinate maintenance and training into the scheduling of aircraft and crews to allow optimum availability and efficient operations.
Advise passengers of potential weather issues in a timely manner to circumvent scheduling problems. Develop contingency plans to cover last minute changes or emergencies such as aircraft breakdowns, crewmember illness, short notice emergency flights, or preempted flights.
Responsible for securing services required to support passenger and crew needs including arranging fixed base operations (FBOs), ground transportation, and hotels.
Maintain an awareness of aircraft's location at all times and confirms safe landing within 30 minutes of scheduled arrival times.
Procure charter aircraft services when needed in compliance with company Charter Policy.
Work with Chief Pilot and Chief of Maintenance to schedule training.
Schedule/Coordinate international flight arrivals with Department of Homeland Security (Customs/Agriculture/Immigration).
Provide afterhours Aviation support.
Responsible for obtaining flight crew travel visas and renewing passports when required.
Renew annual operating permits (TSA waivers, Customs decals, etc.).
Schedule crewmembers in a manner that distributes an equal share of the workload considering; nights away from home, weekend flights, extended assignment trips, and number of days worked.
Participate as a member of the Site Safety Committee. Serve as site Safety Leader Alternate when required.
Establish and maintain records and other supporting data of flight activity in sufficient detail following company’s record retention program to respond to internal and external audits, investigations, and reports.
Possess thorough understanding of operating rules regarding DCA Access Standard Security Program and Temporary Flight Restriction gateways.
Maintain supplies and services necessary for the functioning of the Aviation facility and aircraft.
Finance Coordinator Duties and Responsibilities
Produce the annual budget for Corteva Agriscience Aviation.
Maintain a monthly Cost Statement and analyze expenses compared to the budget.
Interact with vendors and internal Procurement team to create/renew service contracts and process invoices.
Maintain an awareness of regulatory guidance (IRS, SEC, FAA, & DOT) on the personal use of corporate aircraft.
Produce reports for internal tax and payroll on personal use (SIFL, IRS disallowance, and SEC proxy).
Assist with internal teams and external partners for fleet planning analysis & aircraft acquisition.
Control jet fuel inventory purchases, distribution, and physical and financial reconciliations.
Control aircraft parts inventory and physical and financial reconciliations.
Maintain an ongoing fuel cost analysis and flight hours reporting.
Manage credit card accounts for company aircraft.
Manage internal chargeback process.
Experience and Education – What you'll bring to the table!
Bachelor's degree preferred or equivalent industry related experience.
5+ years of aviation scheduling and dispatching (or equivalent experience) required.
Strong proficiency with aviation scheduling platforms and Microsoft Office Suite.
Experience with budgeting, cost accounting, & financial analysis.
Ability to communicate effectively with company Executives, Executive Assistants & Corporate Finance teams.
