The School of Arts and Sciences (SAS) is the largest academic unit at Rutgers University and the center of the undergraduate experience on the Rutgers-New Brunswick campus and is comprised of 41 academic departments spanning the liberal arts.
SAS offers more than 100 majors and minors across the life sciences, humanities, social and behavioral sciences, and mathematical and physical sciences with research centers and institutes across the school. Posting Summary
Rutgers, The State University of New Jersey, is seeking a Divisional Director Administration Life Sciences for the Dean's Office within the School of Arts & Sciences. Reporting to the Dean of Life Sciences for the School of Arts and Sciences, the Director of Administration is an advisor to the Dean of Life Sciences, a member of his/her leadership team, and a key resource to the Department Administrators of the Life Sciences departments.Among the key duties of this position are the following:
  • Develops a "mission-focused" culture amongst the administrative team, enabling the provision of excellent support to the faculty, students and staff of the Life Sciences departments.
  • Works with Department Administrators to communicate, adapt, implement, and enforce financial, human resource, technology, or space management policies and procedures throughout the Life Sciences; to steward department and SAS assets.
  • Provides reliable operational information to a wide range of users internally and externally.
  • Serves as a conduit for information sharing across all departments, advocates for, and represents the Life Sciences departments' interests.
  • Handles the oversight, management, and control of fiscal resources for Life Sciences units, the human resources operations related to faculty and staff within the Life Sciences units, and the operation, space utilization, and support of Life Sciences buildings and related facilities services and capital assets.
  • Handles significant hands-on contributions to institutional planning and to operational strategy development and implementation.
  • Coordinates and consolidates at the area level, of departmental annual reports, strategic plans financial and budget information, staffing plans, academic mission and other departmental activities.
  • Provides guidance to and assists Department Administrators and is their first point of contact for University and School policy implementation and compliance, operations support, research support, purchasing, special programs/events and other functions.

Qualifications

Minimum Education and Experience
  • Bachelor's degree.
  • A minimum of eight years of recent and progressively responsible leadership roles in communicating effectively on financial and accounting policies.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Experience managing human resources processes and practice, including labor relations issues and the handling of highly confidential information, and a demonstrated commitment to the principles of diversity.
  • Experience in overseeing IT services and developing and leveraging technology to further overall organizational goals, and in managing varied facilities.
  • Excellent written and oral communications skills.
  • Must be able to negotiate and work through complex initiatives with personnel from all levels and with varying responsibilities.
  • Excellent strategic leadership, communication, facilitation, conflict management, interpersonal, relationship management, and team building skills.
  • Demonstrates tact, discretion, and diplomacy in handling a wide range of sensitive and/or confidential matters.
  • Is collaborative and able to appropriately balance competing priorities.
  • Must have an in-depth understanding of the operations of the Life Sciences departments.
  • In addition to executive-level work requiring detailed, specialized knowledge in one or several fields of accounting/finance; human resources; and others.
Preferred Qualifications
  • Experience working in a multi-campus higher education setting, or in a large, dynamic organization within a public sector setting.
  • Preference to an individual who has served as the CFO, or COO of a non-profit organization or academic unit of a research university.
Equipment Utilized
  • Utilizes Excel, Access, Word, Procurement systems, Oracle financial management and reporting systems, PeopleSoft and Oracle HCM, Tableau, Expense Reimbursement system, RAPPS, and a variety of SAS online systems.
Physical Demands and Work Environment
  • Ability to walk up and down the stairs.
  • Own means of transportation for travel to all four RU-NB campuses.
  • Primary office is on College Avenue Campus but will be expected to work on Busch Campus as needed.
