Posting Summary
Rutgers, The State University of New Jersey is seeking an Administrative Research Associate for the Cancer Epidemiology & Health Outcomes division of the Rutgers Cancer Institute of New Jersey (CINJ).Under direction of the Director, Research Administration, this position provides administrative support to the assigned Research Faculty member(s). This position is responsible for providing high level support to the research faculty in the research, academic and/or leadership roles. The Administrative Research Associate must always maintain a high level of professionalism and have the ability to interact with high level academic and business associates as well as colleagues at all levels of Rutgers University and other institutions.Among the key duties for this position are the following:General Administrative Support
  • Proactive calendar management.
  • Manage all meeting logistics including room/set-up, audiovisual, food/beverage, housekeeping, preparing a flyer or other meeting notice, formatting and sharing agenda, calendar invitations, parking/travel arrangements/directions for visitors, arrange virtual platform (WebEx, Zoom, Teams, etc.), calendar invitations, formatting and sharing agenda, collection/screen sharing of presentations, recording, chat monitoring, confirmations/reminders, basic meeting minutes/notes.
  • Assist with preparing agendas and drafting meeting materials, including slides for faculty presentations.
  • Perform executive notetaking. Conduct meeting follow up independently.
  • Handle all travel and conference arrangements, travel advances, and expenses, and prepare detailed and accurate itineraries with all contact information for hotels, transportation, etc.
Research Program Administration
  • Works with CINJ Finance to initiate the hiring process. Assist with preparing an appropriate job description.
  • Assists Workforce Planning and Performance (and Rutgers HR, as appropriate) to have the position open in ROCS. Pull applications from ROCS and provide to the faculty for review and selection of candidates. Move applicants along in ROCS as appropriate.
  • Arrange interviews between the faculty and candidates.
  • Responsible for faculty and staff onboarding and exiting in accordance with CINJ SOPs and respective appointment department.
  • Manages requests for time off/attendance records for the faculty's research staff.
CCSG/Research Administration Reporting
  • Assist faculty by doing an initial review and completion of the lists of publications and awards and responding to inquiries.
  • Support CCSG Research Program Leaders and/or Associate Directors in their CCSG-related responsibilities (e.g., coordinating Program Meetings, work with with Program Members, obtaining information for grant renewal activities).
  • Assist faculty and/or Research Administration on necessary activities to support CCSG-related activities (e.g., External Advisory Board [EAB] slide sets).
Grant Administration Support
  • Request, review and draft documentation and materials regarding the grant submission process such as checklists, Letters of Support, biosketches, ancillary documents, and No Cost Extensions (NCE's).
  • Maintain records of materials (e.g., Human Subjects forms, Resource Sharing Plans) and faculty's "Other Support" page.
  • Coordinate JIT process which includes gathering and reviewing information and documents for Just in Time process, entering JIT materials into eRA commons and advise the PI on actions needed, and liaising with Program Officers on program requirements.
  • Work with faculty to ensure effort certifications are completed in a timely manner.
  • Assist the faculty in financial analysis response and any actionable items. Track expenditures (e.g., gift cards) and provide reconciliation monthly.

Qualifications

Minimum Education and Experience
  • Bachelors' Degree.
  • Three (3) years of related experience in a business office, government agency or university setting required.
  • Equivalent education, experience and/or training may be substituted for the degree requirement.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • This position requires proficiency in Microsoft Office products, including Word, PowerPoint, and Excel.
  • Must have working knowledge of what is necessary for the proper conduct of human subjects' research including budget preparation and tracking expenditures; institutional review board procedures; and, grant and contract proposal submissions.
  • Must be dependable, flexible, and people oriented.
  • Must be resourceful in analyzing work-related challenges and seeking out effective and efficient solutions.
  • Must be able to perform information acquisition tasks, using internet search engines, PubMed and other databases, etc.
  • Must be willing to work additional hours to meet deadlines, as needed.
  • Must have excellent oral and written communication skills and a highly professional demeanor in person and on the telephone.
  • Must be organized, detail oriented, and possess strong spelling, grammar, and proof-reading skills.
  • Must be computer literate with proficiency and intermediate to advanced knowledge of Adobe Acrobat and End Notes.
Preferred Qualifications
  • Experience with federal and non-federal research funding preferred.
