Posting Summary
Rutgers, The State University of New Jersey is seeking a Administrative Coordinator for the New Jersey Agricultural Experiment Station, Rutgers Cooperative Extension within the Department of Agriculture and Natural Resources. Reporting to the Department Administrator, Rutgers Cooperative Extension (RCE), secondarily to the Department Chairperson, and working closely with Executive Leadership in Cooperative Extension, this position provides executive-level and confidential administrative support for the Department.

Among the key duties of the position are the following:
  • Serves as the primary administrative and communications liaison between the Department of Agriculture and Natural Resources located in the state office and 21 county offices throughout the state, and other entities for scheduling, financial/contractual, program logistical planning, personnel and emergency response matters.
  • Coordinates administrative processes and implements state-wide administrative guidelines for the department and the greater Extension program, prioritizes departmental work and resolves conflicts and issues.
  • Provides routine and non-routine information and explanation to Extension faculty/staff and clients both inside and outside the department.
  • Plans arranges, and coordinates department meetings and completes work consistent with the broad understanding of the mission, vision, and goals of the department and Rutgers Cooperative Extension.
  • Assists the department chair and department administrator with the handling of fiscal and personnel matters, including but not limited to budgeting, purchasing, academic appointments, new hires, promotions, annual reviews; and coordinating teaching evaluations for the department.

Qualifications

Minimum Education and Experience
  • Requires a Bachelor's degree from an accredited institution or a combination of education and experience in a related field that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and/or report writing principles and practices.
  • Requires a minimum of two years of relevant experience in an administrative function.
Certifications/Licenses
  • Have or obtain a valid driver's license and completion of the NJ State Defensive Driving course.

Required Knowledge, Skills, and Abilities
  • Excellent communication, time management, interpersonal and organizational skills, attention to detail, and the ability to work with a diverse population.
  • Experience working with confidential and sensitive information.
Preferred Qualifications
  • General knowledge of the land grant system, and experience in higher education administration. Knowledge or use of data analysis software, and Canvas.
  • Knowledge of Rutgers systems.
Equipment Utilized
  • Extensive use of Microsoft Office (Word, Excel, PowerPoint, Publisher, Access). Microsoft Teams, and social media platforms such as Facebook and YouTube.
Physical Demands and Work Environment
  • Must be able to lift 25lbs, must be able to work fully on-site or in a hybrid environment with presence in the state office at least three (3) days per week.
  • Able to travel statewide as necessary.
