Craven Community College Assistant Registrar in New Bern, North Carolina

Occupational Summary

The Assistant Registrar supports planning and operations within the Office of the Registrar/Student Records. This position directly assists the Registrar with functions related to registration, student progression and graduation. The Assistant Registrar serves as curriculum liaison; enters revisions to curricula into the management system as mandated by the NCCCS, maintains and updates Programs of Study per the Curriculum Review Committee (State) and Curriculum and Academic Policy Committee (CAP). The Assistant Registrar serves as the Registrar in his/her absence.

Essential Duties and Responsibilities
  • Provides excellent customer service with a full range of support services to current and former students, as well as the general public, faculty and staff by responding to inquiries and requests for information and assistance related to student records, registration and graduation
  • Assists in the development and administering of college policies and procedures related to student records and registration
  • Evaluates and certifies students for graduation
  • Maintains and updates student records including adds, drops and withdrawals; processes grade changes
  • Produces and issues student transcripts, and enrollment and degree verifications
  • Assists the Registrar in researching and reporting on enrollment statistics and related data for college departments and federal, state and local agencies
  • Serves as curriculum liaison to process curriculum revisions within the student management system as mandated by the state-wide Curriculum Review Committee, the State Board of Community Colleges and the local Curriculum and Academic Policy Committee
  • Enters Programs of Study into student management systems; conducts Programs of Study inquiries and ensures appropriate catalog years and majors
  • Serves as liaison to early college personnel with respect to student schedules, grades and withdrawals
  • Manages and assists in the creation of curriculum course sections in collaboration with Instruction staff
  • Oversees the evaluation of student transcripts and awarding of valid transfer credits
  • Notifies faculty and instructional divisions of important information and deadlines via designated methods, including but not limited to, final grades, attendance rosters, last day to withdraw, web attendance tracking and student attendance review
  • Processes withdrawals, credit by exam, course audit, change of grade and incompletes
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related duties and projects as assigned in support of the College's mission, core values and goals
Minimum Qualifications

Associate's degree from a regionally accredited institution of higher learning.

Two (2) years' administrative experience in student records or related department in a higher education institution.

Preferred: Bachelor's degree from a regionally accredited institution of higher learning.

Experience using Colleague.

Experience within the North Carolina Community College System

Knowledge, Skills and Abilities

Knowledge

  • Rules, regulations and principles of the North Carolina Community College System, as well as other state and federal laws and regulations regarding records maintenance
  • Family Educational Rights and Privacy Act (FERPA) as it relates to student records
  • Knowledge of community college programs of study and registration processes
  • Transfer requirements and articulation agreements
  • College policies and procedures, academic requirements, campus resources, student life and support services
  • Customer service principles

Skills

  • Strong organizational, problem-solving and time management skills
  • Interpersonal skills with proven ability to work in a team environment
  • Advanced computer skills and technical proficiency in Microsoft Office application
  • Multitask and organize, prioritize, and follow multiple project through to completion
