Position: Manager of Administrative Services – Nashville, TN
Hybrid position
A national law firm is seeking an experienced Manager of Administrative Services to lead and oversee the administrative functions in its Nashville office. This leadership role involves managing support staff, coordinating office operations, and ensuring compliance with policies and procedures. Candidates must have significant experience in administrative management within a law firm environment to meet the demands of this fast-paced position.
Key Responsibilities
Team Leadership: Supervise administrative staff, set schedules, provide training, and ensure effective support for attorneys and office operations.
Staffing and Onboarding: Manage recruitment and hiring processes, onboarding new employees, and organizing comprehensive training on office systems and procedures.
Performance Oversight: Lead the evaluation process, including gathering input, preparing reviews, and delivering feedback to staff.
Operational Management: Monitor timekeeping, hybrid work schedules, and workflow to maintain compliance and efficiency while minimizing overtime.
Facilities and Safety: Ensure office compliance with safety standards, manage vendor relationships, and coordinate facility needs with building management.
Administrative Support: Oversee vendor invoicing, reimbursements, and general office administration to facilitate smooth day-to-day operations.
Requirements
Qualifications
Minimum of 5–7 years in law firm administration with demonstrated leadership abilities.
Displays professionalism and tact when interacting with the firm's high-profile clientele.
Strong organizational and problem-solving skills, with the ability to manage competing priorities in a high-pressure environment.
Thorough knowledge of employment laws and compliance standards, including leave policies, overtime rules, and benefits administration.
Proficiency in Microsoft Office and familiarity with HR and administrative systems; experience with iManage, Chrome River, and viDesktop is beneficial.
Bachelor’s degree required.
