Position Description
The Building Operation and Support Services (BOSS) Maintenance Administrative Officer position provides support to the facility management staff and Zone Managers to ensure the successful delivery of building operations and support services for the facilities managed by General Services. This position will be responsible for a variety of administrative services and projects essential to operations. Performs related duties as required.
The men and women in Metro’s General Services Department are there to make sure the rest of government works. From ensuring that our city’s vehicles run safely and smoothly, to keeping city buildings up to par to providing printing services and more, General Services is the support that allows other Metro departments to focus and achieve their missions.
Typical Duties
Review and respond to work orders, coordinate with vendors and other Metro teams as needed; ensure timely and quality service is delivered.
Perform Contract Compliance inspections of all General Services facilities to identify deficiencies to include areas of general maintenance, HVAC, janitorial, landscaping, access control, elevators, etc.
Process access request for General Services staff and vendor in coordination with MNPD and ITS Physical Security.
Coordinate and participates in administrative/management projects.
Coordinate and schedules weekly full staff meetings.
Research problems and recommends solutions for maintenance or operations.
Process quotations and process invoices for facility operational goods and services.
Participate in development of safety and/or material acquisition projects.
Serve as advisor to department employees involved with various administrative or operational related programs and projects.
Draft, distributes, and implements operational procedures for equipment data collection and maintenance in the work management system.
Procure, organize, and maintain the inventory of office supplies and equipment for multiple divisions.
May present systematic analysis of administrative implications of new laws and regulations.
Minimum Qualifications
EDUCATION AND EXPERIENCE:
Bachelor's Degree and two (2) years of professional experience in an administrative, technical, logistics, project management or project coordination related field.
Additional experience may be considered in lieu of some education
LICENSE REQUIRED:
Valid Driver License
Metro Nashville Police Department background check required
Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience, Knowledge, Skills, and Abilities
Experience using Microsoft Office suite and an Integrated Workplace Management System
Experience coordinating with vendors
Experience creating and communicating informative reports to a variety of stakeholders
