General Job Description
This is a professional position responsible for providing functional and technical support to various operations in the Office of the Registrar. Works under limited supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the Associate Registrar.
Essential Job Functions
Provides functional and technical support to various operations within the Office of the Registrar, including but not limited to registration, graduation, transcript production, records management, diploma services, enrollment reporting, degree audit, curriculum and catalog management, and National Student Clearinghouse services.
Utilizes technology for continuous improvement of office procedures and assists with coordinating implementation, automation, maintenance, and reengineering of existing processes with a focus on efficiency and professional best practices.
Serves as a functional specialist for the student module of the campus ERP system.
Works with staff from various offices to troubleshoot issues related to the student module of the campus ERP system.
Assists with testing of computer system and third-party software upgrades, patches, and new functionality releases.
Assists with developing, testing, implementing, and maintaining technology solutions to assist the Office of the Registrar and related units with enhancing customer service and efficiency of operations.
Participates in collaborating with the academic colleges and departments, enrollment management departments, and other areas to enhance efficiency of operations to facilitate student success.
Assists with conducting training on the student module of the campus ERP system and other registrar systems for customers.
Performs quality control tasks to ensure proper accuracy, integrity, and security of student records.
Designs and maintains quality control reports to monitor effectiveness and efficiency of services and functions.
Assists the registrar with vendor relations.
Adheres to requirements of the Federal Educational Rights and Privacy Act ( FERPA ), related policies and procedures, and all other applicable laws and regulations.
Assists with commencement preparation.
Non-Essential Job Functions

Participates in professional development activities.
May serve on committees and teams as requested.
Assists other positions within the Office of the Registrar as needed.
Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities

Knowledge of, or ability to learn, university and departmental policies and procedures.
Knowledge of, or ability to learn, federal, state, and local regulations related to areas of responsibility.
Knowledge of, or ability to learn, university degree requirements and college curriculum.
Knowledge of records administration and maintenance techniques and procedures.
Skill in using computer applications such as spreadsheet, database, and word processing software.
Skill in completing assignments accurately and with attention to detail.
Ability to accurately prepare and maintain records, files, and reports.
Ability to communicate effectively in both oral and written form.
Ability to explain policies and procedures to faculty and staff.
Ability to maintain effective interpersonal relationships.
Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.
Ability to set priorities and complete assignments on time.
Ability to learn office and university-specific software.
Ability to work with and maintain confidential information.
Ability to train others.
Physical Demands
Required Education
Completion of at least two years of college coursework or an Associate’s degree is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.
Required Experience and Training
Two years of related experience is required.
Preferred Qualifications
Bachelor’s degree is preferred. Experience in a registrar’s office or related area is preferred. Experience with the student module in Banner ERP system and/or other registrar systems is preferred.
Special Conditions for Eligibility
This is a security-sensitive position subject to criminal record check.
This is an IT-sensitive position subject to the Computer and Network Security policy.

Benefit and Retirement Eligibility
This position is eligible for participation in the Teacher Retirement System of Texas ( TRS ) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
