Westchester Community Health Center Administrative Assistant to CFO in Mount Vernon, New York

Under general supervision of the CFO, performs administrative support. Has the ability to work independently or on a team using strong interpersonal skills. Candidate must be an excellent communicator, capable of effectively managing complex schedules, skilled at interfacing with key external audiences, and able to prioritize and work closely with other members of the finance team.

Primary Responsibility of the Position:

Provides administrative support to the CFO and Finance Department Managers. Provide general administrative and clerical support including mailing, scanning, faxing, and copying to management. Maintain electronic and hard copy filing system. Prepare, modify, and distribute documents including correspondence, reports, drafts, memos, and emails. Answering and directing phone calls to relevant staff. Scheduling meetings and appointments. Taking notes. Greet and assist visitors to the office. Work in Microsoft Word and Excel daily. Research and create PowerPoint presentations. Sorts mail and facsimile correspondence and distributes accordingly. Performs other duties as requested. Manage the busy schedule and calendar for the CFO Screen and monitor calls, field questions, and/or forward them to the appropriate person. Develop and maintain paper and electronic filing systems into readily retrievable formats. Prepare expense reports with appropriate and timely follow-up. Serve as liaison between the Office of the CFO and its reporting units. Education and Experience:

Good typing, computer, and organizational skills, and ability to cooperate with medical and non-medical staff. Knowledge of the use of office equipment, including computer literacy. Graduation from a standard high school. At least one year (1) administrative assistant experience is preferred. Excellent verbal and written communication skills are required. Strong interpersonal skills and the ability to handle confidential information with exceptional judgment and discretion. Candidate must demonstrate ability to set priorities, handle multiple assignments, and work with diplomacy and efficiency in a highly pressured environment. Outstanding ability to manage deadlines and relate to all levels of personnel.
