EXECUTIVE SECRETARY/PT

Position Summary:

The Office of International Affairs and Graduate Recruitment works with international students, faculty and staff. The primary objective of this position is to provide support for the Director of International Student and Scholar Services. Duties performed are of a complex and varied nature, requiring a high degree of autonomy and responsibility. 

Required Qualifications:

High school diploma or GED . Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job. 

Preferred Qualifications:

Experience working in higher education. Ability to multi-task in a fast paced environment. Interest in working with diverse and multinational populations. Experience coordinating the work of others. Experience working with financial records. Experience with SAP . Ability to design/maintain web pages. 

Duties & Responsibilities:

The position will provide support to the Director of International Student and Scholar Services (ISSS ) and the ISSS unit. Maintain and organize confidential records related to employment authorization for international faculty and student immigration records. Coordinate billing and processing of legal filings and attorney fees. Maintain unit budgetary accounts and generates budgetary reports and billings as required. Reconciles accounts on a monthly basis, or, as required. Monitors credit card charges and expense accounting for the ISSS staff. Prepares invoice vouchers, purchase orders and reconciliations for ISSS staff. Processes payroll and Timelink for ISSS staff Oversees catering requests, room reservations and logistical arrangements for ISSS events. Communicates with attorneys, faculty and university departments to assist in the securement of employment authorization for international faculty and staff. Prepares correspondence and compiles required documents to assist in the filing of employment authorization applications and petitions.

Pay Range: $16.00 - 23.87 per hour; estimated starting range $16.00 - 19.00
