Atlantic Health System Administrative Assistant - Patient Experience (FT) in Morristown, New Jersey
Essential Functions:
Provide high level administrative support to the Executive Director, Patient Experience and the respective departments. The ideal candidate is highly self-motivated, professional, upholds a strict level of confidentiality, meets deadlines, communicates effectively, and is capable of managing their own workload and prioritizing tasks in a fast-paced environment. Forward-thinking and works independently with little to no supervision.
Manages and schedules meetings and appointments, plans participation, provides onsite coordination, technical support, and tracking of action items
Acts as the point of contact between executives and employees/clients.
Anticipates needs and proactively assembles the appropriate people and resources to solve problems
Monitor, screen, respond to and distribute incoming communications (emails) and answer and manage incoming calls.
Receive and interact with internal and external guests by greeting and directing their whereabouts.
Assists in reviewing payroll within the API system and adjusts as needed for reviewer approval.
Orders / maintains office supplies.
Conserves executives time by reading, researching and routing correspondence, including mail pick up for the department and distribution.
Maintains confidence and protects operations by keeping information confidential.
Prepares reports/presentations by collecting and analyzing information, assists with projects such as presentations as necessary.
Coordinates employee engagement calendar of events and activities for onsite functions and corporate initiatives
Prepares and processes position requests and replacements for admin review and approval
Assists executives by maintaining an organized filing system of paper and electronic documents.
Records, types and distributes meeting minutes as requested.
Suggest more efficient ways to run the office and troubleshoot malfunctions.
May perform a variety of other administrative duties such as processing invoices, vouchers, purchase orders, human resources, and budgets

Education and Qualifications:
High School Degree Required. College degree preferred.
Proven work experience as an Administrative Assistant, prefer 3+ years.
Advanced Microsoft Office skills, including Excel, Word, PowerPoint and Visio.
Advanced Outlook skills.
Advanced writing and reporting skills.
Knowledge of standard office administrative practices and procedures
Experienced with and understanding of CMS, HCAHPS, and Press Ganey surveys utilized for patient and family feedback. Ability to organize and present data in a concise manner.
