SUMMARY

Group Activities & Paintbox Supervisor

Coordinate and ensure a fun and relaxing atmosphere for guests in year-round recreational activities. Provide a fun and safe atmosphere for all children participating in our exclusive children`s program, Paintbox.

ESSENTIAL FUNCTIONS

A summary of the duties include, although are not limited to:

  • Demonstrate expert knowledge of Montage Big Sky and Spanish Peaks, and a high level of understanding of the Yellowstone Club, Big Sky Resort and local area and year-round operations; technical background of outdoor equipment; basic local knowledge of animals/landscapes of the Gallatin River, Forest, and Yellowstone National Park.

  • Creating personalized guest interactions; ensuring accuracy of the ski rental process; overseeing arrival and departure of all guest equipment; maintaining proper record keeping; and ensuring that department cleanliness and organization standards are met.

  • Organize and arrange group functions, capture group revenue and coordinate activities.

  • Coordinate & process POs, payment of invoices, and record-keeping.

  • Assist in end of month inventory, accruals, and financial closing.

  • Coordinate proper procedures of receiving and processing retail inventory and organization of product.

  • Coordinate logistics of all off-site adventures, including staffing, product, and transportation.

  • Developing relationships with 3rd party and offsite vendors used for our programming.

  • Coordinate with F&B for BEOs, picnic lunches and special events for Outdoor Pursuits.

  • Greet guests in a professional manner; inform guests of local mountain conditions, weather, ski trails, lift access points, activities going on and dining option on property and around mountain

  • Take incoming telephone calls and note all information of each call and special requests made by guests.

  • Ensure the smooth flow and logistics of both the summer and winter valet process.

  • Coordinate with Guest Reception on the delivery of activity equipment.

  • Coordinate with concierge on activity requests and billing questions from front office & accounting

  • Support the Paintbox Manager with special projects, programming, and correspondence

  • Produce a safe and fun environment for all children participating in Paintbox activities

  • Arrange and direct programs and daily activities

  • Ensure that all children are participating

  • Greet guests and ensure that all Paintbox information and authorization forms are completed correctly by parents / guardians

  • Assist with the training of new associates and coordinate additional staff members from other departments.

  • Organize and execute all special event activities for special occasions, holidays, summer and winter programs and special requests for groups and social functions.

  • Maintain new procedures for Paintbox operations that improve the guest experience.

  • Properly communicate with the resort staff and resort guests all upcoming programs and offerings within Paintbox and family activities.

  • Maintain a thorough knowledge of all Standard Operating Procedure and training program for the Paintbox programs.

  • Record the appropriate charges that are associated with the activities

  • Communicate with staff and guests of impending programs and activities

QUALIFICATIONS

  • High school diploma or equivalent required.

  • Minimum of one years’ experience in customer service.

  • Excellent telephone etiquette.

  • Exceptional guest recovery skills.

  • Enjoy interacting with people in a fast-paced environment.

  • Excellent organizational and time management skills.

  • Must possess a positive attitude.

  • Must be willing to participate in a learning environment.

  • Must integrate company values throughout all interactions.

  • Must be dependable and available to work within the resort on weekends, nights and/or holidays based on business demands

  • Able to become CPR/ First Aid Certified

  • Valid driver's license preferred

  • Winter driving experience preferred

PHYSICAL REQUIREMENTS

Work tasks are performed indoors and outdoors. There is no effective protection from weather. Must be able to stand and exert well-paced mobility for up to 4 hours in length. Must be able to lift up to 60 lbs. on a regular and continuing basis. Must be able to push and pull carts and equipment weighing up to 25 lbs frequently. Must be able to bend, stoop, squat and stretch to fulfill ski equipment handling tasks.
