Trust Administrative Assistant Essential Duties and Responsibilities:

  • Answer incoming phone calls for the Trust Department and route appropriately
  • Greet visitors and inquire the nature of their business in order to provide customer service
  • Set up trust accounts for clients including adding assets and maintaining client information
  • Close trust accounts for clients including preparation of closing forms
  • Assist Trust Administrative Officers with administration of personal trust accounts to include account reviews, court accountings, estate inventories, oil and gas records, distributions
  • IRA administration to include contributions, distributions, meeting with customers, RMD notices, asset sales, and purchases, account transfers
  • Assist Employee Benefits officer with client meetings and mailings
  • Assist Trust Manager with duties as assigned
  • OFAC/FinCen monitoring and reporting
  • Prepare monthly welcome letters to new customers
  • Reconcile monthly spreadsheets
  • Provide assistance to the production of account reports for clients
  • Establish and maintain strong relationships with all trust department staff and clients
  • Interact with trust department prospects and various parties relevant to administration of accounts
  • Gather information and assist in preparation of proposals to prospective clients
  • Assist in preparation of fiduciary tax filings and annual reports for trust, institutional, and individual accounts
  • Generate and analyze reports pertaining to assigned responsibilities
  • Assist in daily, weekly, monthly, quarterly, and annual reporting functions
  • Manage day-to-day trust department activities as requested
  • Ensure compliance with banking laws, regulations, and the Banks policies and procedures, including Bank Secrecy Act

Trust Administrative Assistant Education And/or Experience:

  • Associates degree in business or finance related field preferred
  • 2 years experience in banking, benefit processing, or office administration
  • Knowledge of retirement plan regulations and terminology preferred
  • Knowledge of investments and accounting principles preferred

SKILLS/ABILITIES:

  • Excellent written and verbal communication skills
  • Highly organized with careful attention to detail
  • Able to prioritize, multitask and work with a variety of people
  • Reliable, responsible, and dependable in fulfilling obligations
  • Demonstrate professionalism in working with the public and all levels of management
  • Computer proficiency, especially in Microsoft programs and related banking software
