Medtronic Project Coordinator IV - US Sales, Endoscopy in Minneapolis, Minnesota

A Day in the Life

The Sales Project Coordinator is responsible for supporting the Endoscopy commercial leadership team and other team members with administrative tasks, project coordination and general clerical support. The role reports to the Vice President of Sales and Marketing.

This position is preferred to flex, 3 days onsite. Potential locations include Lafayette CO, Minneapolis MN, Duluth GA or Boston MA. For the right talent, remote within the US may be considered.

Responsibilities include:

  • Active participant and member of the Commercial Leadership Team

  • Identify issues and use effective problem-solving techniques, tact, and discretion in managing a variety of situations. Independently identify reasonable alternatives and recommend alternative approaches to Vice President and others.

  • Perform various administrative duties including research, travel arrangements (including comprehensive international travel), meeting scheduling/calendar management, candidate interviews, and expense reporting for VP of Sales & Marketing. Understand the processes required to support someone with extensive travel demands.

  • Provide administrative support for complex meetings, demonstrating capability in audio conferences, video conferences, and a mastery of other technology as needed. Plan, prepare, and coordinate special meetings including agendas, meeting materials, logistics, action items, travel, and catering.

  • Assist/drive planning and coordination for National Sales Meeting, President’s Club, training events/other meetings associated with Sales & Marketing

  • Manage US sales roster, confidential records, files, organizational charts, distribution lists and new hires/departures

  • Assist with onboarding and offboarding of sales personnel

  • Manage comprehensive commercial calendar including key meetings, training, conferences, internal operating mechanisms, birthdays, etc

  • Order supplies and equipment

  • Acts as an information resource on organizational policies and procedures

  • Draft correspondence, reports, and forms. Demonstrate effective cultural sensitivity in titles and names. Superior usage of grammar, formatting, and identifying errors is also very important.

  • Assist with the development, implementation, and administration of projects and procedures, including presentations to the Senior Leaders, and key stakeholders.

  • Act as liaison with other Administrative Assistants to share information and develop policies and procedures.

  • Lead and/or coordinate project or program support for the team which may include special projects/monitoring program/project/system status, budgets and timetables.

  • Apply knowledge of and experience in company operations to assist in the development, implementation and administration of program/system guidelines and procedures.

  • Gather and compile information for reports, presentations and dashboards

  • Provide other administrative and project management support as needed to commercial team

  • Travel approximately 15-20%

Must Have: Minimum Requirements

  • High School Diploma or GED

  • Minimum of 6 years of relevant administrative support experience

Nice to Have

  • Experience supporting senior level executives in a corporate setting

  • Software proficiency: MS Office,Teams, Zoom, Sharepoint, Concur – Ability to learn software/technology as needed

  • Proven ability to maintain confidentiality using independent judgement and discretion

  • Excellent written and verbal communication skills

  • Excellent attention to detail and organizational skills

  • Project management

  • Strongly self-motivated; ability to take initiative and be self-directed

Salary ranges for U.S (excl. PR) locations (USD):$62,000.00 - $93,000.00

This position is eligible for a short-term incentive called the Medtronic Incentive Plan (MIP).

The base salary range is applicable across the United States, excluding Puerto Rico and specific locations in California. The offered rate complies with federal and local regulations and may vary based on factors such as experience, certification/education, market conditions, and location. Compensation and benefits information pertains solely to candidates hired within the United States (local market compensation and benefits will apply for others).
