The two programs are: (1) the Hubert H. Humphrey Fellowship Program (the "Fellows Program"); (2) the Humphrey School's Global Policy Area. The time commitment for the two programs will be: 60 percent with the Fellows Program; 40 percent with the Global Policy Area. The Program / Project Specialist exercises independent judgment and discretion on important matters. They focus on handling administrative projects and program coordination; creating content and disseminating communications; organizing events and travel; and providing direct day-to-day support to program participants. The Program / Project Specialist is supervised by the Associate Director of the Fellows Program. The Program /Project Specialist will receive additional direction and guidance from the chair of the Global Policy Area. Key Responsibilities: General Administrative Responsibilities (25%) Plans and independently completes administrative projects, and provides administrative coordination for the programs. Plans and establishes work goals, tasks, and resources required to complete projects and coordinate the programs. Provides day-to-day guidance and support to Fellows and students involved in the programs. Assesses administrative challenges, gathers related information, analyzes past and current practices, and recommends possible solutions. Maintains files, records, databases, and listservs. Manages program equipment and supplies. Processes invoices and expenses. Identifies improvements for financial tracking and reporting. Meeting and Event Support (25%) Works with colleagues to plan and publicize public events. Assists with identifying speakers, scheduling, securing spaces, preparing, registering participants, ensuring accessibility, and setting-up and breaking-down for meetings, seminars, retreats, events, and other gatherings. Independently handles technology and logistics for online meetings and events. Identifies vendors and handles contracts with service providers. Manages the processing of honoraria for guest speakers. Arranges Fellows' transport and accommodations for retreats, program-organized trips, and off-site events. Assists with creating itineraries, and manages the logistical plans. Lead Communications Role (25%) Writes and shares relevant information through the Humphrey Fellowship social media channels and the website, as well as the Global Policy Area Newsletter Creates and distributes promotional materials for events. Responds to requests for information about the programs. Prepares a weekly email for Fellows Program participants. Direct Support to Humphrey International Fellows (20%) Serves as a key point of contact for inquiries and requests from program participants and others. Helps Fellows with administrative procedures and logistical matters. Arranges for group trainings and individualized training (e.g. English language tutoring). Helps promote the Fellows as resources to the University and local communities, e.g. by identifying guest speaking opportunities. Creates periodic surveys for Fellows, analyzes the responses, and suggests programmatic improvements. Other Duties (5%) Maintains the Fellows' lounge in the Humphrey School, and liaises with facilities management. Provides administrative support to visiting international scholars by working with Humphrey School faculty and the Associate Dean to secure desk space, supplies, and other resources. Other duties as assigned. Physical Requirements Ability to communicate orally is important. Regular use of the telephone and e-mail for communication is essential. Standin , sitting, bending, moving objects (e.g. setting up tables and chairs in meeting rooms), and lifting (up to 20 lbs.) may be common. Good manual dexterity for the use of common office equipment such as computer, calculator, and copiers is required. Starting Salary $50,000 - $53,000 Qualifications Required Qualifications: High School diploma/GED and five years experience in an administrative/office setting; training/education may be substituted for some years of experience. Demonstrated interest in public policy, public administration, and global affairs. Computer experience to include: website maintenance and content creation; social media engagement; Google Applications, and Microsoft Office suite. Experience with coordinating events and handling teleconferencing technology. Excellent written and verbal communication skills, including drafting, proofing, and editing correspondence. Experience with project management, including independently managing multiple administrative projects, performing complex, detail-oriented tasks, flexibly responding to unexpected requests, and setting priorities. Strong interpersonal skills, including the ability to work effectively in teams and interact with individuals who are diverse in race/ethnicity, age, geography, political affiliation, country of origin, and more. Valid driver's license and access to regular use of a reliable vehicle for delivery and set-up of Program materials at events. Available to work during occasional non-standard work hours, especially in August. Preferred Qualifications BA/BS in a related field. Experience with ChromeRiver, CSS, Google Apps Script, Drupal Lite Site development, Adobe Creative Cloud, Qualtrics, and Salesforce. About the Department The Hubert H. Humphrey Fellowship Program brings accomplished mid-career professionals from designated countries undergoing development or political transition to the US for an academic year for educational, professional, and cultural enrichment and exchange. The Humphrey School hosts cohorts of about a dozen Fellows each year, who are professionals specialized in public policy analysis, public administration, human rights, and law. The Global Policy Area supports and coordinates teaching, research, and public participation in global policy at the Humphrey School.
