Since this time, ODAT has become a center of expertise for the development and administration of funding programs focused on advancing research and discoveries to improve human health. We seek an experienced Program Coordinator to support the operational activities for ODAT funding programs. This position will be working in a hybrid setting. An opportunity for fully/mostly remote may be possible. DUTIES/RESPONSIBILITIES This individual will be responsible for coordination of operational activities for all ODAT-administered programs. They will be responsible for working with ODAT leadership and staff to ensure a streamlined, organized and efficient operation of various funding programs. Grants Coordination (60%) Coordinate and execute funding cycle activities, including: Execute RFP-related tasks in adherence with RFP timelines. Contribute to the development and review of program funding announcements. Disseminate funding announcements to internal and external partners and stakeholders. Serve as a point of contact for questions from applicants and awardees. Provide support for applicant use of the online grant submission system. Prepare grant review and program materials for review committees, ODAT staff, and other audiences as requested. Coordinate operational aspects of review meetings. Document and communicate review decisions to applicants and other stakeholders. Complete award setup activities in compliance with sponsor terms, University policies/procedures and federal regulations. Complete grant-related data entry and maintain integrity of ODAT data systems. Collect interim and final reports from funded researchers in compliance with program requirements. Generate reports with grant data / information for internal and external stakeholders upon request. Contribute to the optimization of grant workflow, continued quality, and timeliness across all aspects of the funding programs. Responsible for project-level budget monitoring for funded projects in compliance with appropriate policies and regulations. Assist with internal and external audits as needed. Assist in the development and execution of program reports as required by program sponsors. Program and Project Operations (40%) Work with the ODAT Director, Assistant Director, and ODAT team to develop comprehensive. Work plans and timelines across all ODAT and CTSI-related initiatives and special projects. Execute tasks related to CTSI grant-related initiatives and special projects. Document and maintain ODAT operational workflows, processes and policies. Process invoices and payments. Maintain accuracy of ODAT documentation systems and program websites. Coordinate and maintain contracts with vendors. Answer emails generated to any of the grant program website contacts. Coordinate team and review meetings across multiple cross-functional and cross-institutional teams. Assist in the planning and coordination of conferences and educational programs, as needed. Qualifications All required qualifications must be documented on application materials. Required Qualifications Bachelor's degree and at least four years of experience or a combination of related education and work experience to equal at least eight years. Experience supporting and managing databases or data management tools (e.g. SmartSheet, Microsoft Excel, REDCap). Experience in maintaining compliance with policies and procedures. Strong collaborative and consultative skills. Effective, persuasive communicator, both verbal and written. Excellent organizational skil s and attention to detail. Proficiency with Microsoft Office and Google applications. Desirable Qualifications At least 3 years' experience in complex matrixed work environment. Experience working with grants programs. Experience working in a higher education and/or healthcare system environment. Experience supporting and managing websites, listservs. Values Teamwork and collaboration. Wanting to make a difference.
