The Department of Medicine submits a significant number of proposals annually, resulting in 400 awards generating $78M in total sponsored funding, including $48M from NIH. This role plays a critical part in supporting the department's research mission and ensuring compliance throughout the pre-award process. This role reports to the Senior Manager of Research Strategy and Operations within the Department of Medicine in close partnership with the Medical School's Pre-Award and Proposal Development Services to ensure consistent practices across departments. The Pre-award Manager will also be responsible for developing proposal submission strategies, leading a team of 4 pre-award staff, and providing direct support to faculty and research staff. Key Responsibilities: * Pre-Award Operations (15%): Partner with the Medical School's Pre-Award services to ensure alignment and optimization of tools, templates, and workflows. Track and monitor proposal submission metrics, providing regular reports to leadership. Collaborate with other departments and institutions for large, multi-disciplinary grant applications. * Team Leadership (30%): Lead and supervise a team of 4 pre-award staff, providing mentorship, training, and performance oversight. Ensure smooth coordination of workload, compliance with policies, and support for all stages of the proposal development process. * Compliance (15%): In strategic collaboration with the Medical School's Pre-award Development Services ensure all submissions comply with sponsor regulations, university policies, and federal guidelines. Maintain up-to-date records of NIH and other sponsor-specific requirements and changes in funding policies. * Proposal Development & Award Management (40%): Work closely with faculty, postdocs, and other researchers to develop high-quality grant proposals. This includes reviewing proposal guidelines, preparing budgets, ensuring compliance with institutional and sponsor requirements, and tracking submissions. Assist in managing non-financial aspects of grant awards, such as interim progress reports and no-cost extensions. Address issues related to re-budgeting, carry-forward requests, and personnel changes. Work Arrangement: This position offers a hybrid work arrangement, with a minimum requirement of 3 days on campus each week. The Department of Medicine retains the right to adjust the flexible work agreement based on operational needs. Qualifications Required Qualifications: * Bachelor's degree with at least 6 years of experience in pre-award management, or a combination of related education and work experience totaling 10 years. * Proven experience with NIH award management, including preparation of human subjects documents. * Ability to manage multiple, deadline-driven projects simultaneously, with strong prioritization skills. * Exceptional communication skills, including the ability to engage with diverse groups across all levels of the organization. * Proficiency in tools like Microsoft Office Suite, Google Suite, and Adobe Acrobat. * Demonstrated leadership, problem-solving abilities, and customer-service orientation. Preferred Qualifications: * Experience working in higher education institutions or research-intensive environments. * Proficiency in electronic proposal submission systems such as Grants.gov, ProposalCentral, and UMN's MN-EGMS. * Familiarity with University of Minnesota policies, procedures, and resources. * Experience managing and developing a tea of pre-award professionals. * Strong organizational and communication skills, with the ability to navigate complex projects involving multiple stakeholders. * Proven Independent initiative, accountability, and ability to lead collaborative teams.
