Event Coordinator

JOB TYPE:

Full Time - Hybrid

TYPICAL/EXPECTED % OF OVERNIGHT TRAVEL:

10% travel and attendance at assigned sales meetings and conventions

ABOUT YOU:

This role is a member of the Event Management team, which meets business objectives by creating innovative, quality events aligned with organizational strategies. The incumbent is responsible for pre-event logistics and on-site execution of various assignments for annual meetings, conventions, national conferences, incentive and recognition programs.

Incumbents of this role are required to be on call and/or available after hours, to provide their own mobile device, and to distribute their mobile phone number accordingly. Alternatively, individuals may distribute their office phone number if their office phone is set to forward calls to their personal device when they are not physically present.

YOU HAVE:

  • Passion. Interest in corporate meeting/convention planning. Strong interpersonal skills.

  • Technical skills. Required proficiency in computer applications and database management including Excel, PowerPoint and Word.

  • Punctuality. Action oriented and a self-starter.

  • Coordination. Effective time management and organization of multiple ongoing projects. Team player with a focus on serving the customer.

  • Experience. Previous experience in event management. CVENT experience required.

  • Education. Bachelor’s degree in business or related field required.

  • Preferred. Abode Photoshop / InDesign proficiency preferred. Web and email design experience preferred. Experience with Independent Sales Reps preferred. Desire to grow in the event management field. Strong ability to self-set priorities.

    YOU WILL:

  • Manage. Event website design and registration development using the CVENT software. Development and maintenance of event apps using CVENT. Planning and execution of virtual webinars. Maintain event budget and reconcile expenses. Manage onsite registration technology.

  • Collaborate. Partnering with marketing to manage trade shows and conventions (college, champ and yearbook conventions).

  • Strengthen. Develop and manage vendor relationships for event deliverables and services.

  • Help. Customer service support for both internal and customer facing events. Other projects as assigned.

Our Marketing team leverages digital marketing strategies and tactics focused on schools, independent sales reps, parents and students to deliver the right message, to the right customer, at the right time.
