Apply for Job Job ID364255 LocationTwin Cities Job FamilyAdministration-General Full/Part TimeFull-Time Regular/TemporaryRegular Job Code8208A1 Employee ClassCivil Service Add to Favorite Jobs Email this Job About the Job This position is responsible for overseeing the day-to-day activities of the Accreditation Council for Graduate Medical Education( ACGME) accredited Child & Adolescent Psychiatry Fellowship program and the non-accredited Neuromodulation Medicine Fellowship program for the University of Minnesota's Department of Psychiatry and Behavioral Sciences. This includes administration of the programs in collaboration with the Program Directors, staff, and the trainees and providing education coordination between attending physicians, fellows, students, hospital/clinical sites, and institutional and regulatory administrative offices. This position is also responsible for overseeing the Psychiatry Residency didactics program, in partnership with the Residency Administrator and Chief Residents. This includes annual curriculum review, scheduling and oversight of weekly and annual didactic activities and events. The Administrative Associate 1 must demonstrate initiative, resourcefulness, and problem-solving skills in applying detailed knowledge of the responsibilities, functions, and underlying management structure of accrediting organizations, the Department of Psychiatry and Behavioral Sciences and the larger institution in organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely work flow. This is a hybrid position with the current expectation being a minimum of 1 day on site per week. Job Duties/Responsibilities: Child and Adolescent Psychiatry Fellowship Coordinator - 70% * Provide direction, leadership and day-to-day management of education activities for the program and serve as an informational resource to the fellows and Program Director (PD). This includes, but is not limited to: - Managing fellow recruitment and onboarding - Creating and managing fellow orientation and graduation - Developing goals and objectives, preparing curriculum in collaboration with the Program Director - Creating fellow rotation schedules annually, coordinating clinical rotations, seminars, courses, lectures and meetings for the program. - Managing the fellow evaluation process * Ensure compliance with regulations governing the program such as the ACGME and the American Board of Psychiatry: - Maintain the ACGME Web ADS, annual reports, AIR survey and Graduate Medical Education (GME) Track. Work with systems databases for accreditation; review and maintain current knowledge of ACGME, and Board requirements. * Serve as liaison for the program between University faculty and staff, affiliate training sites, and the fellows, fellowship PD's and coordinators. * Administer, interpret and clarify GME human resource policies; coordinate distribution of GME requests, forms, and pertinent information, oversee timely completion of forms and maintain an updated program policy manual. * Ensure uniform and efficient communication and coordination across the program and all affiliated training sites * Maintain and refine confidentiality across all components of the program Residency Didactics Coordinator - 20% * Provide efficient coordination and day-to-day management of the Residency didactics curriculum including weekly conferences as well as other didactic events throughout the year. * Coordinate curriculum and didactic schedule review annually. * Partner with Residency Coordinator, Program Director and Chief Resident(s) to ensure all educational, scheduling and compliance requirements are met * Maintain clear and efficient communication to all stakeholders Neuromodulation Medicine Fellowship Coordinator - 10% * Provide direction, leadership and day-to-day management of education activities for the program and serve as an informational resource to the fellow and Program Director (PD). This i cludes, but is not limited to: - Managing fellow recruitment and onboarding - Creating fellow rotation schedules annually, coordinating clinical rotations, seminars, courses, lectures and meetings for the program. - Managing the fellow evaluation process * Ensure compliance with all UMN GME and any other governing body's requirements. Work with systems databases for accreditation; review and maintain current knowledge of all requirements. * Serve as liaison for the program between University faculty and staff, affiliate training sites, and the fellow, fellowship PD and coordinators. * Administer, interpret and clarify GME human resource policies; coordinate distribution of GME requests, forms, and pertinent information, oversee timely completion of forms and maintain an updated program policy manual. * Ensure uniform and efficient communication and coordination across the program and all affiliated training sites * Maintain and refine confidentiality across all components of the program Qualifications All required qualifications must be included in the application materials Required Qualifications: * BA/BS or a combination of related education and work experience to equal four years. * Outstanding communication (oral and written), interpersonal, and organizational skills with keen attention to detail Preferred Qualifications: * Work experience in a higher education or medical education setting * Working knowledge of RMS, ACGME, and American Board of Psychiatry * Strong excel and/or data analytic skills * Demonstrated ability to work across varying levels of an organization, i.e., leadership, colleagues, and trainees About the Department The Department of Psychiatry & Behavioral Sciences consists of an outstanding team of researchers, clinicians, and educators who provide world-class expertise in psychiatric illness, treatment, scholarship, and scientific discovery.
