Responsibilities:
Manage complex calendars, including scheduling and coordinating meetings across multiple time zones.
Provide meeting support, including preparing agendas, taking minutes, and managing follow-up actions.
Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
Supervise and mentor administrative team, providing guidance, training, and performance feedback.
Serve as a go-to resource, fostering a collaborative and supportive team environment.
Manage workflow delegation, ensuring efficiency and consistency across the team.
Ensure consistent administrative processes and standards are followed across the team.
Handle sensitive and confidential information with the utmost discretion.
Act as a liaison across departments, effectively communicating with all levels of the organization.
Requirements
Qualifications:
5+ years of administrative experience, including 2+ years in a supervisory or leadership role.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with scheduling and travel management tools preferred.
Excellent communication skills, with the ability to interact confidently across all levels of the organization.
Ability to remain composed and adaptable in a fast-paced environment.
Discreet and professional when handling sensitive information.
Experience in investment banking, finance, or professional services a plus.
Strong organizational and time-management skills with the ability to prioritize effectively.
Trusted resource who others feel comfortable coming to for guidance.
Benefits:
- The salary range for this position is $70-90K, full benefits (medical, dental, vision), competitive PTO + paid holidays, and 401K w/ company match.
