JOB REQUIREMENTS: Position Description: As an Administrative Assistant Sr. in Department of Pediatrics you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures, under general direction. Primary Functions Anticipate and initiate action regarding administrative functions Prepare and compose correspondence, reports, memoranda, and other documents using basic and more advanced functions of computer applications and software packages. Provide administrative support to the four pillars (CCC, Fellowship, Residency, and Simulation) and division leadership. Answer and relay telephone calls, resolve routine inquiries, take and effectively relay appropriate messages. Schedule and prepare for meetings; gather necessary information, create agendas and Power Points, set up Teams, Zoom and/or other virtual meeting software; attend meetings to take and disseminate meeting minutes Coordinate and maintain calendar of events, appointments, meetings, and travel itineraries for assigned staff. Assist in the planning and facilitation of events within the four pillars Maintain operation of office equipment such as changing toner and order and track office supplies. Process payment requests, requisitions, and invoices Greet and direct visitors providing factual information Maintain records and file system to effectively manage information following regulatory guidelines. Provide back-up support for other administrative staff when needed. Respond to various situations in the work of the division or department. Perform other duties as assigned. Knowledge - Skills - Abilities Clerical - Apply principles of administrative procedures and systems including word processing, managing files and records, and completing forms Customer Service - Knowledge of principles for creating positive customer experiences Time Management - Skilled managing time in order to ensure work is completed in a timely manner Communication - Effectively and clearly exchange information in written or verbal form Computers - Knowledge of basic word processing and other office applications Event Planning - Apply organizational and relational skills to plan and facilitate events #LI-SN1 Preferred Schedule: M-F 8-5 Position Requirements: Appropriate experience may be substituted on equivalent basis Minimum Required Education: High school diploma Minimum Required Experience: 5 years of experience Preferred Education: Associate\'s Degree Preferred Experience: Experience in academic medical center Why MCW?
