Sr. Shipping & Receiving Clerk

The University of Miami/UHealth department of Facilities has an exciting opportunity for a Full Time Sr. Shipping and Receiving Clerk to work at the Health Medical Campus.

Core Job Summary

The Sr. Shipping & Receiving Clerk assists with tasks necessary to operate the moving and receiving/shipping department functions including functional supervision of a working crew. Must be able to assign work and provide guidance to lower level workers performing moving and receiving functions.

Core Responsibilities

  • Contacts appropriate staff or department to verify order or shipment requirements.

  • Schedules outbound shipments, coordinating pickup times with trucking companies to ensure on-time delivery.

  • Ensures appropriate paperwork is completed and accompanies each shipment.

  • Confirms exceptions and unusual deliveries, and tracks orders back to originator internally to verify.

  • Receives and unpacks materials and supplies.

  • Reports damages and discrepancies for accounting, reimbursement, and record-keeping purposes.

  • Communicates shipment schedule changes tactfully and adjusts shipping forecasts.

  • Logs and tracks vendor non-compliances, such as short shipments, incorrect shipments, and early or late shipments.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

  • Lift and move heavy items such as office and lab furniture, miscellaneous equipment.

  • Load and unload trucks and perform manual labor.

  • Estimate work, tracks time of the moving crew and supervise their performance.

  • Keep track of receiving/moving paperwork.

  • Responsible for keeping all the above equipment in good working condition.

  • Plans, organizes and schedule work orders.

  • Takes inventory of the equipment.

  • Reports any mechanical problems with moving trucks.

  • Assign work orders and set priorities.

Core Qualifications

  • High School diploma or equivalent

  • Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to process and handle confidential information with discretion.

  • Commitment to the University’s core values.

  • Ability to work independently and/or in a collaborative environment.

  • Proficiency in computer software (i.e. Microsoft Office).

    Any relevant education, certifications and/or work experience may be considered.
