Department Specific Functions

The SCCC department is seeking a Manager, Administrative Operations that leads a team responsible for performing a variety of research, planning, and administrative functions to support and facilitate Sylvester Comprehensive Cancer Center (SCCC) Research Programs.

The Manager meets regularly with Program Leaders to assess Program needs and team performance. Provides mentorship and leadership to Program Support Team members, helping set individual and team performance goals, guides the team in problem solving and issues resolution. Develops and maintains standard operating procedures for the Program Support Team. Develops and maintains training and onboarding materials for the Program Support Team. Hires and trains new team members. Tracks data/metrics to gauge Program Support Team performance and make recommendations for improvement to the Executive Director for Cancer Center Operations. Leads Program Support Team meetings and presents on team performance, accomplishments and other topics as assigned. Sets recordkeeping standards across the Program Support Team, including meetings, related correspondences, meeting announcements, attendance rosters, hand-outs, and minutes. Maintains research Program budget, keeping records of all expenditures as required by SCCC Finance. Assist with coordination and planning of monthly research Program meetings involving SCCC members, UM faculty and guests external to UM including notifying members of upcoming meetings, agenda, and location. Gathers and organizes data as necessary for Program meetings; prepares and coordinates slides for presentation. Composes and edits internal correspondence and documents or selects standardized formats, designs presentations and creates drafts of SCCC Program publications such as flyers, PowerPoint presentations, website text; provides routine and general clerical support which may include reports, and statistics. Leads Program Support Team data collection required by NCI Cancer Center Support Grant (CCSG), plans and data reports for monthly administrative meetings. Ensures all Program data is reviewed and approved by Program leaders. Works with the Program Support Team and Program Leaders to prepare for External Reviews and Advisory Boards including preparing the pre-meeting materials and presentations and work with Program leaders to implement the Reviewer’s recommendations and tracking the progress. Coordinates travel for guest speakers and those attending meetings / conferences; process required UM documentation and appropriate related travel transactions Prepares communications to Program members related to SCCC’s External Advisory Board (EAB) and manages the Program member’s Annual Progress Report for NCI RPPR purposes. Assists the Sylvester Intramural Program lead as necessary with research Program internal funding competitions including collecting applications, setting up review committees and distributing award and letters. Acts as a point of contact for the research Programs.Manage Sylvester membership process including the collection, review for completeness and presentation of applications to relevant committees for evaluation. Records new member data in EVAL and adjusts existing member data as needed based on cancer center leadership determination. Supervise the collection and maintenance of credentialing information of Principal Investigators (i.e. biosketch, curriculum vitae, and research records). Assist with budgeting, tracking, and reporting programmatic funds to Program Leaders. Collects, manages, and reports on Program Budgets. Aid in development of SCCC Research Programs expansion and growth of ad-hoc Groups (i.e Aging and Cancer, Infection and Cancer) Facilitate meetings with Program Leaders and Associate Director of Basic Science including notes and action items. Evaluates and measures the effectiveness of assigned programs. Optimize efficiency of Program attendance reporting through dashboard that captures and displays multiple metrics (e.g. attendance by member, attendance by event etc.) Other duties as assigned.

Ensures projects, department milestones/goals are met and adheres to approved budgets. Purchases and maintains office equipment and supplies. Tracks and analyzes operational costs. Coordinates delivery of office services with other departments. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Qualifications

Education:

High school diploma or equivalent required. Bachelor's or master’s degree preferred.

Experience:

Minimum 5 years of relevant experience required. Experience in University department, institute or center administration preferred.

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to direct, manage, implement, and evaluate department operations.
