Description
If you have a knack for managing a wide range of administrative tasks and thrive in dynamic work environments, Robert Half has an exciting opportunity for an Executive Assistant. This position offers the chance to work alongside a talented management team, where your organizational skills and multitasking abilities will be put to the test in a fast-paced, supportive atmosphere. Located in the Miami area, this role is a long-term contract with the potential for permanent hire.
Key Responsibilities:
Provide comprehensive administrative support to executives and senior leadership.
Manage calendars, schedule meetings, and coordinate various appointments.
Organize travel arrangements, including flights, accommodations, and transportation.
Prepare, edit, and proofread reports, presentations, and correspondence.
Prioritize and screen incoming calls, emails, and requests.
Keep track of and maintain important executive files and records.
Assist with preparing and reviewing key documents and reports.
Maintain confidentiality while handling sensitive information.
Act as a liaison between senior executives and both internal and external parties.
Oversee administrative duties such as expense reporting and budget monitoring.
Coordinate company events, meetings, and special projects.
Research and compile data to assist in decision-making processes.
Manage multiple tasks and projects while staying organized.
Proactively suggest improvements to optimize workflows and efficiency.
Support special projects and perform ad hoc tasks as needed.
Maintain a professional image and represent the executive office positively.
Requirements
Bachelor’s degree or equivalent experience (preferred).
Bilingual in Spanish.
Proven experience in an executive assistant or similar administrative role.
Proficiency in Microsoft Office Suite and communication tools.
Strong organizational skills and ability to manage time effectively.
High attention to detail and accuracy.
Excellent written and verbal communication skills.
Discreet with confidential information.
Problem-solving abilities and adaptability to shifting priorities.
Ability to work in a fast-paced and ever-changing environment.
Strong interpersonal skills for effective collaboration with executives and peers.
