Job Description

Hybrid 3x per week in Lake County, IL

The Medical Project Office (MPO) Project Planner partners with Medical Program Managers (MPM) and business owners across all Medical Affairs Therapeutic Areas and Medical Operations to ensure successful completion of medical tactics through efficient contract execution/management and accurate financial management activities. This position serves as an expert in contract and vendor management providing guidance to MPMs and business owners on the contracting process and ultimately ensuring execution of contracts once submitted for processing and managing contract lifecycle (PO issuance, gaiting, invoice processing, updating, closing). The MPO Project Planners are responsible for the accuracy of the financial management tools used by MPMs and business owners to manage their budgets and make financial decisions. This position will be responsible for liaising with Finance, Purchasing and other cross-functional partners to confirm guidance and resolve issues as needed.

Responsibilities:

  • Provide guidance to MPMs and business owners on contracting requirements including templates, vendor setup/update requirements, and additional documentation requirements (e.g., bid summary/waiver, ADCT, SET, EDD). Liaise with Purchasing, Outsourcing or other cross-functional partners as necessary.

  • Critically assess all vendor proposals and contracts to ensure compliance with applicable policies and guidelines. Submit documentation to Purchasing or Outsourcing for PO issuance. Proactively monitor process to completion, address issues, and find compliant solutions.

  • Proactively verify vendor status in vendor master database. Complete new vendor setup documentation (including Bank Verification Form and vendor setup requests) as needed.

  • Ensure accuracy of tactical grids through timely updates of new POs, HCP contracts, BSG LBEs, MPM updates and through detailed month end close activities including actuals reconciliation, accruals, and LBE updates.

  • Collect, summarize, consolidate and verify data from multiple sources for monthly budget tracking, reporting and reconciliation as well as quarterly aggregate review.

  • Proactively follow up on issues identified as part of month end close process. Escalate as necessary.

  • Ensure timely approval and release of vendor invoices by routing for business owner approval, releasing in SRM, and proactively monitoring for issues and following up for resolution.

  • Provide project and historical information, reporting, and tracking to support all finance planning cycles (monthly actuals, LBE, plan, transparency/sunshine reporting). Continuously monitor projects for issues that require resolution and communicate issues with stakeholders.

  • Provide guidance to GMA team members on AbbVie policies and procedures related to MPO areas of responsibility. Assist with audits, compliance reporting and corporate initiatives as required.

  • Coordinate meetings with MPMs for assigned areas for project status and to support budget accuracy. Compile ad hoc data and analysis requests in coordination with TA MPM.

  • Support team as needed through special assignments, initiatives and/or coverage requests.

Qualifications

  • Bachelor’s Degree in a technical, scientific or business-related field is required. Preference for MBA.

  • Project management certification (e.g. PMP) and/or six sigma certification preferred.

  • Minimum of 6+ years of operational and/or project management experience preferably in pharmaceutical industry.

  • Applied knowledge of project management tools and processes (e.g. management of integration, scope, time, cost, quality, human resources, communications, risk and procurement).

  • Confidence working with multiple systems to perform job responsibilities. Experience with the following systems is a plus: SAP – ECC/SRM, EXCEL Pivot Tables, Qlik Vision Dashboard Reporting, APTTUS, Centris/C3, ACE, IRT.

  • Consistently communicates in an accurate, emotionally intelligent, concise and inclusive manner.

  • Ability to prioritize multiple projects and deadlines, and to adapt quickly to change in priorities.

  • Builds strong relationships with peers and cross functionally with partners outside of the team to solve problems and drive results.
