Robert Half Accounts Payable Specialist in Menlo Park, California

Description

The Accounts Payable Specialist will be primarily responsible for assisting with the day-to day accounts payable

process, including processing of invoices and payments, maintaining vendor records and the AP subledger.

Position will also work closely with individuals at all levels of the organization to ensure timely and appropriate

processing of invoices and payments and in accordance with policies and procedures. Qualified candidates must

be systems-savvy and have the ability to execute multiple tasks in a fast paced, rapidly changing environment.

Candidates must have strong attention to detail, problem solving, and time management skills. This is a 40 hr/week contract position that can be based remotely, though CA is preferred.

Responsibilities:

• Process vendor invoices in Coupa with two and three-way matching, review invoices to ensure proper

coding and approval, verify and reconcile invoice discrepancies and resolve issues.

• Assist with the weekly invoice payment batch to ensure timely payments to vendors.

• Respond to vendor invoice/payment inquiries and resolve any discrepancies in a timely manner.

• Review and reconcile vendor statements and develop a proactive account review process for key high[1]volume vendors.

• Maintain and review of vendor information, including banking, ACH, Form W-9’s, as needed for year-end

1099 issuance.

Requirements

• Proficient in using Accounting Software Systems

• Advanced skills in Microsoft Excel

• Experience in haQualifications:

• Associates degree in accounting or related field

• 5+ years related professional experience

• Coupa experience is a must

• Basic to Intermediate understanding of A/P related concepts and accounting principles, including general

ledger coding and its impact on the financial statements

• Experience in biotechnology or pharmaceutical industry a plus

• Desire to understand the company’s business and allocation of costs to functional activities

• Proven problem solving, documentation, research and resolution skills

• Familiar and comfortable with working in a small, growing company, able to work with all functions in the

organization, able to work remotely

• Fluent in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.

Accounting Functions

• Knowledge and experience with Accounts Payable (AP)

• Familiarity with Check Processing procedures

• Proficiency in Data Entry tasks

• Ability to identify and resolve Discrepancies

• Experience with Coupa software

• Proficiency in using Expensify for expense management
