Job Title: Administrative AssistantGrade: 16Salary: $56,112 - $63,650The NYS Office of Mental Health is seeking qualified candidates for a full-time Administrative Assistant, Grade 16, to support the Office of Population Health and Evaluation Medical Informatics Unit. The Office of Population Health and Evaluation is responsible for supporting the data analysis and evaluation needs of the NYS OMH, and for the implementation and evaluation of large scale public mental health initiatives to improve quality and access to care in New York State. Current projects include evaluating new initiatives for individuals experiencing homelessness and serious mental illness in NYC, conducting needs assessments to understand which communities have greatest need for additional mental health resources, using data to monitor and support coordination of mental health crisis services statewide, developing data visualization tools to support public policy decisions, implementing a statewide quality improvement program to build capacity to provide best practices for treatment related to the opioid epidemic, and maintaining an award winning online application to help inform treatment decisions for clinicians and patients.This role is within the OPHE Internal Operations team (3-4 staff) which supports all administrative work for the Office. This role will be responsible for supporting the Albany and NYC based staff that make up the Medical Informatics Unit (approx. 15 staff), and requires a highly organized, efficient, and detail-oriented individual with excellent customer service and administrative skills who relates well to a diverse group of individuals including, but not limited to, clinicians, administrators, researchers, and senior executives and Commissioner level staff. The successful candidate will work well as a team and is also able to work independently, taking initiative to learn, anticipate and point out challenges and needs, and help track deadlines and deliverables for the office staff.Duties and Responsibilities:Function as the go-to person for scheduling meetings and maintaining calendars for Medical Informatics staffManage calendar by scheduling meetings (often with senior OMH staff and executives at external partner organizations), monitoring/resolving calendar conflicts, and checking to ensure all meetings have Webex links or room addressManage travel arrangements and reimbursement submissions for both OMH and RFMH staff with Medical Informatics Unit, including learning the NYS State Financial Systems softwareMaintain network and other contract spreadsheet to confirm invoices and payments are completeSupport communications by monitoring email inbox of Medical Informatics staff as requested, forwarding/delegating to Unit Directors as indicated to ensure rapid response, responding to emails on behalf of staff when appropriate, and checking voicemailReview emails for staff as requested, for content, context, and urgency and track completion of follow-upMaintain action item tracking document for staff, and proactively follow up on outstanding action items and emails (eg text or call staff to notify and check in on action item completion)Retain important names, dates, contact information for recall to support staff as neededManage documents by preparing documents for internal and external meetings, following up on documents requiring Unit Director signature, PDF/UnPDF documents, and proofreading documentsForm strong working relationships with Unit Director, OPHE Crisis Project Director, other senior staff, other staff in the OPHE Internal operations unit.Maintain organization and tracking systems for administrative tasksSolve problems quickly in fast-paced, dynamic environment, and ask questions as neededIdentify high priority tasks for follow-up, and reassess priorities as new work/ emails come in.Anticipate and check in with Unit Directors on needs.Help cover for other Admin staff when they are outMinimum Qualifications:A four-year high school diploma or its educational equivalent approved by a State's Department of Education or a recognized accrediting organization, and five (5) years of relevant experience working in a professional office environment, ORAssociates degree and four years of administrative experience ORBachelor's degree and one year of administrative experiencePreferred Qualifications:Intermediate or expert level ability to use word, excel, PowerPoint, and Outlook email and calendar functionsWork Location: 150 Broadway Menands, NY 12204To Apply: Submit an application through our website at https://rfmh.applicantpro.com/jobs/.
