Health First Senior Executive Assistant - Nursing Administration in Melbourne, Florida
*POSITION SUMMARY *
The Senior Executive Assistant is a high-level support role within the Integrated Delivery Network (IDN) health system, responsible for providing comprehensive administrative and strategic assistance to senior executive leadership. This position plays a critical role in advancing the organization’s mission by enabling executives to function at peak efficiency and facilitating the seamless execution of strategic initiatives. The Senior Executive Assistant must manage highly confidential information, perform with professionalism and discretion, and demonstrate a proactive, solutions-oriented approach. Acting as a liaison between the executives, board members, internal departments, and external stakeholders, this role requires exceptional communication skills, sound judgment, and a deep understanding of healthcare operations.
The ideal candidate is a trusted partner and leader within the administrative function, able to anticipate the needs of senior executives and work independently to resolve issues and drive projects forward. In addition to traditional administrative duties, the Senior Executive Assistant is instrumental in overseeing critical projects, coordinating high-profile events, preparing data-driven reports, and enhancing executive communication, ensuring that all interactions reflect the organization’s values and strategic priorities.
*Primary Accountabilities *
- Executive Support: Manages complex calendars, travel arrangements, and prepares executives for high-stakes meetings. Ensures the smooth operation of the executive office, coordinating internal and external communications with accuracy and professionalism.
- Confidential Information Management: Handles sensitive information and communication with discretion, demonstrating a strong commitment to confidentiality.
- Project Coordination: Manages key projects and initiatives, independently prioritizing tasks, gathering data, coordinating resources, and ensuring alignment with organizational objectives.
- Event Management: Organizes and oversees executive meetings, board sessions, leadership retreats, and high-level events, handling all logistics to deliver a seamless experience.
- Strategic Communication: Prepares executive-level reports, presentations, and communications that align with the IDN’s goals, values, and strategies, ensuring clarity and cohesion across departments.
- Process Improvement: Continuously identifies and implements administrative process improvements to increase efficiency and enhance the executive team’s productivity.
*MINIMUM QUALIFICATIONS *
- Education: Associate degree in Business Administration, Healthcare Administration, or a related field, OR high school diploma/equivalent with additional relevant experience.
- Work Experience: At least 5 years of executive administrative experience, preferably supporting senior management in a fast-paced environment.
- Knowledge/Skills/Abilities: o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. o Ability to work autonomously with minimal supervision o Strong critical thinking skills o Strong written and verbal communication skills, with attention to detail and accuracy. o Excellent time management and multitasking abilities, with the capability to prioritize effectively. o Ability to maintain composure in stressful office environment
PREFERRED QUALIFICATIONS
- Education: Bachelor’s degree in business administration, Healthcare Administration, or a related field.
- Certification: o Certified Executive Administrative Professional (CEAP) o Executive Assistant Certification (EA) o Microsoft Office Specialist (MOS)
- Work Experience: Previous experience in a healthcare or hospital setting, with a strong understanding of healthcare operations and terminology.
- Knowledge/Skills/Abilities: o Event Coordination: Experience coordinating high-level meetings, events, and travel arrangements.
- Budgeting and Financial Tracking: Familiarity with budget management and financial reporting for executive offices.
- Proficiency in advanced office tools and technologies, such as project management software (e.g., Asana, Trello) and video conferencing platforms (e.g., Zoom, Teams).
*PHYSICAL REQUIREMENTS *
- The majority of time involves sitting or standing; occasional walking, bending, stooping.
- Long periods of computer time or at workstation.
- Light work that may include lifting or moving objects up to 20 pounds with or without assistance.
- May be exposed to inside environments with varied temperatures, air quality, lighting and/or low to moderate noise.
- Communicating with others to exchange information.
- Visual acuity and hand-eye coordination to perform tasks.
- Workspace may vary from open to confined, on-site or remote.
- May require travel to various facilities within and beyond county perimeter; may require use of personal vehicle.
