HOW AN ADMINISTRATIVE ASSISTANT III WILL MAKE AN IMPACT:

  • AA will be the only contractor working in a high-tempo environment alongside staff officers on the Front Office team

  • This includes the Chief of Staff and Executive Officer

  • AA will be the face of the Front Office and must compose themselves in a professional manner at all times and will serve as the main tactical point of contact for the day-to-day management

  • This will require a positive, energetic, proactive and engaging personality, and the ability to operate in a high-paced office environment while ensuring all tasks are completed correctly and on-time

  • Must be willing to ask questions, seek guidance from more senior staff, and seek resolution to all tasks in a timely and complete manner

  • Candidate will be expected to proactively manage the calendars of Chief and Deputy Chief, anticipating schedule conflicts and identifying solutions

  • Manage the tactical onboarding of new staff and trainees, including submitting access requests and setting up meetings with other staff

  • The AA will also assist with developing and updating briefing materials and helping with planning and execution of leadership offsite and All-Hands meetings

  • AA must have good written and verbal communication skills as well as strong customer service skills

  • The AA will maintain schedule of appointments, coordinate meetings, order office supplies, and follow-up on requirements, bringing them to completion

  • AA should be highly detail oriented and be able to work with very minimal oversight

  • AA would be expected to work 1860 hours/yr.

  • AA should have intermediate knowledge of the following programs: Microsoft Outlook, Word, Excel, PowerPoint, as well as other government databases

  • No specialized training will be required

  • AA should be comfortable working in Microsoft Outlook, as a large portion of this position is responsible for managing calendars for Chief and Deputy Chief

  • AA will be provided on the job training upon arrival to the offic

  • Previous government experience is not required

  • Previous experience living or traveling overseas is not required, but would be preferred

  • As the Front ffice Admin, the AA will have complete edit access for Chief and Deputy Chief on their outlook calendars

  • They will be responsible for updating the office contact card on a regular basis and will help assist new staff by submitting their access requests before coming onboard

  • The AA will grant access to the offices with the guidance of the Contracting officer

  • Responsible for the management of Chief and Deputy Chief calendars and manage their schedules and appointments, coordinate meetings with internal and external stakeholders, and assist with planning, scheduling, organizing, and executive meetings, All-Hands, and Offsites. Also responsible for scheduling and updating ongoing meetings for office Leadership Team (6 people)

  • Anticipate about 25% of the work in this job will include calendaring

  • The AA will help Chief of Staff with Planning, scheduling, organizing, and executing quarterly All-Hands, as well as bimonthly Leadership offsites and possible conferences

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • Core hours are from 8 am to 4 pm

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site

The likely hourly rate for this position is between $27.82 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
