Grant County Government Offices Executive Administrative Assistant in Marion, Indiana

Major Responsibilities/Activities

The following are normal for this position.These are not to be construed as exclusive or all-inclusive.Other duties may be required and assigned.

Assists Commissioners in scheduling meetings and appointments; maintains Commissioners calendar

Manages invoice reconciliation and payment of vendors, including all insurances

Coordinates Commissioner communications including phone calls, emails, and interfacing with the public and other government offices and departments

Prepares and coordinates bi-weekly Commissioner meetings; send out notices for meetings

Processes bi-weekly payroll for employees reporting to Commissioners; processes cell phone policy and disbursements

Works closely with and assists the County Administrator/HR Director when necessary; takes direction from County Administrator/HR in the absence of the Commissioners

Coordinates department work activities; organizes and prioritizes department workload; consults with Commissioners to review work assignments, requirements, status, and problems

Daily administration and coordination of County property maintenance, i.e. cleaning, repairs, painting, remodels, etc.

Receives phone calls and greets visitors, redirecting when appropriate

Sorts mail daily; coordinates mail pick-up and delivery via DMS, USPS, FedEx, etc.

Monitors office supplies and equipment; negotiates terms with suppliers and vendors to ensure the most cost-effective orders

Performs other related essential duties as required or requested by Commissioners or County Administrator in their absence

Minimum Requirements

High School diploma or equivalent is required; some post-high school education preferred; previous background or knowledge in office administration and procedures.Must be knowledgeable in Microsoft Office Suite.

Essential Mental Functions

Must be pro-active and possess strong communication, organizational, and problem-solving skills to be successful in this position; being detail-oriented and having sound judgment is essential

Accurately meet deadlines; ability to work under pressure; excellent organizational and time management skills

Proficiency in Microsoft Office Suite and have the ability to learn Low Payroll/HR software system

Ability to work with a diverse group of people; adaptability and flexibility needed

Make independent judgment and use common sense; integrity and confidentiality

Essential Physical Functions

Excellent written and verbal communication skills required.

Ability to work effectively in an office environment, i.e. sit, stand stoop, bend, operate a computer for extended periods of time; walk to/from other County buildings
