About this role: Primary focus is providing complex administrative support for the IO Marketing department. Works under limited supervision with general instructions given on new assignments. Your responsibilities will include: Performs general administrative duties that may include coordinating meetings/appointments for department, as well as any assigned Directors, ordering/maintaining supplies, arranging travel, preparing and/or distributing mail. Works alongside all department administrative assistants in PI, attending meetings, assisting with events, large mailings, and other initiatives as needed, as a vital member of the admin team. Serves as a point of contact for customers. Contacts are frequently within and outside own organization and involve obtaining or providing information on matters of moderate importance to the organization and may be of a sensitive nature. Manages IOE department purchase order system, submitting purchase requisitions, tracks spending and invoices, ensures quarterly budgets and accruals are met, meets regularly with Finance Manager. Initiating and completing research as well as follow-up on any complex functional questions posed by the department. Viewed as key functional resource. Primary contact for marketing promotional / swag items, as well as managing those promotions alongside the product managers. Anticipates and coordinates projects/assignments, organizes own schedule, and that of others, to meet deadlines. May gather and prepare data in preparation of upcoming projects; identifies future needs to complete projects. Manages all materials needed for tradeshows, labs, workshops both on BSC property as well as any off-site trainings. This includes ordering necessary products, prepping materials, shipping, and working closely with product managers on all steps to ensure success. Manages and maintains both department storage areas. Manages and maintains working relationships with BSC supplier in Quincy as well as outside vendors, i.e. Quantum, Sparks, etc. Makes decisions using independent judgment under only general guidelines. Translates thoughts into documents (letters/memos/presentations, etc.) using existing material; ensures document is logical and complete as well as accurate in grammar and spelling; makes suggestions for improvements in existing communications. Manages work in a confidential manner, ensuring information is shared with internal and external individuals in an appropriate manner; provides guidance to peers as necessary regarding proprietary information. Responsible for confidential information which typically consists of company/division sensitive information (i.e. new product technology). Required qualifications: 3 Years with Associate in Arts degree/diploma, or An equivalent combination of education/work experience Previous administrative assistant experience (min 3-5 years) supporting multiple team members Experience in supporting senior level leaders Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, SharePoint, Teams, expense reporting software (Concur) and travel booking solutions Strong communication skills (written and oral) and interpersonal skills with ability to work across multiple levels of an organization. Attention to detail and well organized. Self-starter - ability to take on new less-defined tasks Strong sense of responsibility and urgency as well as ability to solve problems independently. Strong customer-service orient tion and professional demeanor. Strong collaboration skills Highest ethical standards.
