General Responsibilities
The Loan Operations Specialist will be responsible for general Loan Operations duties including, booking and funding for Commercial and Construction credit transactions, payoff processing, working daily operational reports and providing loan servicing support. The Loan Operations Specialist will work with the Commercial Loan Administrators to determine pipeline, closings scheduled, and payoff processing requests. The Loan Operations Specialist will manage and control the loan activity within Asset-Based Lending (ABL) working in concert with ABL Portfolio Managers.
Key Responsibilities and Accountabilities
The Loan Operations Specialist Key Accountabilities include, but are not limited to the following:
Loan Operations Specialist - Level 1 - This entry level role is responsible for the below referenced duties. Level 1 Specialist will perform duties with the oversight of a manager or more senior Specialist.
- Reviews closing documents and books loans to system (both core and TCL if applicable)
- Funds initial closing
- Participation loan processing - both purchased and sold
- Quotes payoffs and post payments
- Reviews and funds warehouse advances
- Construction Loans - funds draws/quotes payoffs/post payments
- Books Loan Modifications/Loan Renewals to system
- Execute recording/release of applicable documents
- Loan Servicing - process Client requests/research requests
- Balancing loan general ledger clearing accounts and reviews/provides daily/monthly reporting
- Daily Maintenance Reports - reviews and obtains necessary backup documentation Loan Operations Specialist - Level II - is an experienced Specialist that requires some oversight. In addition to the duties listed above this role will be responsible for the following:
- Third Party Vendor - Verify Balances
- Quarterly QCR Report
- Monitor UCC's - File continuations as needed
- Submit invoices - Third Party Vendors
- Post Rate Changes on CSI system
- Serves as the primary contact for all matters relating to loan operations in conjunction with the ABL Portfolio Management team.
- Creates and inputs new loans in the system and reconciles the new loan set-up to ensure it adheres to the credit approval memo and loan agreements.
- Processes, posts and reconciles loan advance requests in accordance with credit authority.
- Assist Dallas Accounting and Finance Dept. with GL entries and cash application corrections, as needed.
- EOD/EOM Data Review for ABL Operations ensuring postings and any adjustments/corrections are done prior to closing the records daily/monthly.
- Create/update department procedures as needed. Loan Operations Specialist - Level III - is an experienced Specialist that requires minimal oversight. This individual is the go-to person in the absence of the department manager. In addition to all duties listed above, this role will be responsible for the following:
- In-depth knowledge of loan operations and loan processing requirements
- Train and coach junior specialists
- Review and approve work of junior specialists when necessary

Working Conditions
- This position is performed in a regular office work environment. Must be able to work independently from remote locations and within the office environment. The incumbent will be expected to be able to work Monday through Friday, and work will mainly be performed at the Maitland location; occasional evening and weekend work may be required. Flexibility with work location and hours may be granted if circumstances permit.
