JOB REQUIREMENTS: Position Summary The Clinic Coordinator serves as the primary contact for day-to-day operations of the assigned clinic site. Coordinates the daily activities and is responsible for both patient and provider flow within the clinic. The Clinic Coordinator will mentor staff to enhance the daily operations of the clinic by providing excellent service and communication to staff and patients. Typical Physical Demands Requires prolonged sitting, frequent standing, bending, stooping and occasional lifting. Manual dexterity sufficient to operate keyboard, telephone, photocopier, calculator, fax, and other office equipment as needed. Requires ability to work under stressful conditions, with irate individuals, and to work irregular hours. Typical Working Conditions Work is performed in a normal office environment. Frequent contact with employees, patients, and outside agencies. Occasional evening or weekend work. Essential Functions and Responsibilities Coordinates day-to-day operations at assigned dental office. Monitors clinic workload and coordinate schedules to best meet the needs of the patients, including staffing for flex time off, leaves of absence, etc. consistent with clinic guidelines. Resolve patient concerns in a timely and courteous manner. Provides direction to staff following established guidelines, procedures, and policies. Promote continuity of patient care through clear, courteous communication and harmonious working relationships. Be flexible and responsive when unexpected changes occur in staffing, workload, or clinic procedures. Handle patient records and employee issues confidentially, following HIPAA guidelines. Provides initial orientation and ongoing training for clinic employees according to clinic policy and employee needs. Monitors employee timesheets, overtime, and absenteeism for the clinic. Assists with performance reviews. Assists with the selection of qualified candidates for employment. Conducts staff and doctor meetings as needed. Monitors appointments, patient flow, and dental record systems. Monitors employee performance as it relates to safety and health procedures, OSHA regulations and HIPAA guidelines. Ensure a safe and healthy work environment. Monitors petty cash and other office needs. Responsible for the monitoring and addressing the maintenance of clinic building, offices, and equipment, including scheduling non-routine cleaning of the clinic as needed and assuring all office equipment is maintained in good repair or replaced as needed. Monitors accounts to ensure services performed are billed correctly, follows up on credit policies and collections procedures, and audits transactions for accuracy. Monitors phone volume for efficient and effective application, may help cover the phone queue as needed. Assistance with reports if another CC or CA is out on vacation, FMLA, etc. Perform other duties as assigned. Education and Requirements Associate\'s degree in business, health care administration or related field or equivalent experience. Minimum of four years general office experience with a minimum of 1-3 years management experience, preferably in a dental office/healthcare setting.
