Analyst I, Payroll

Responsible for analyzing prepared calculations and maintaining input for confirmation of weekly, biweekly and monthly payrolls across Ricoh North America. Audits payroll processes, ensures compliance and oversees processing services of outsourced payroll vendor. Must be proficient in Federal, State and Local tax laws and processes to produce annual tax forms across Ricoh North America (W-2,T4).

Job Duties and Responsibilities

  • Researches, analyzes, and summarizes payroll data to create custom reports for both internal and external customers.

  • Analyze and maintain employee level changes

  • Verify and process pay transactions

  • Analyze and resolve payroll critical processing errors

  • Maintain and process pre-payroll audits for new hires, terminations and LOA

  • Audit and reconcile payroll data prior to transmission and validate confirmed reports.

  • Process off cycle payments as applicable

  • Analyze and monitor compliance with financial reporting and legal requirements.

  • Analyze and manage appropriate calculation of team member time off balances and ensure timely updates are processed as needed.

  • Assist team members/team leaders with inquiries as appropriate to ensure timely and accurate processing of payments and resolve discrepancies

  • Performs prior period adjustments as needed to adjust team member wages or taxes.

  • Ensure 100% accuracy in payroll processing and adhere to payroll compliance requirements for the US and Canada.

  • Ensure accurate and timely preparation (testing and transmission) of required tax reporting for US and Canada.

  • Ensure compliance and continuous improvement for all Ricoh North America payroll processing.

  • Assist in the preparation of year-end processes.

  • Performs testing and provides analysis for all payroll system upgrades and coordinates changes with Payroll Program Manager and impacted departments.

  • Analyze and maintain compliance with garnishment processing.

  • Gathers payroll data and prepares weekly, biweekly and monthly analysis.

  • Responsible for making updates or corrections as needed (W-2c)

  • Ad hoc reporting

  • Performs other duties as assigned.

QUALIFICATIONS (Education, Experience, and Certifications)

  • College Degree or equivalent work experience is required.

  • A minimum of 5 years’ work experience in a related field is required.

  • Strong computer systems knowledge required. Skills and the ability to prepare graphs and presentations using Microsoft, Excel, PowerPoint, and Word.

  • Ability to create reports using various software programs, i.e.: ADP Reporting, Crystal, Access.

  • Payroll system experience required.

  • Must be a highly motivated and organized self-starter.

  • Must be able to read, analyze and interpret general business documents, professional journals, technical procedures, or governmental regulations.

  • Must be able to write reports, business correspondence and procedure manuals.

  • Must be able to effectively present information and respond to questions from groups or managers, clients, customers, and the general public.

  • Must have excellent attention to detail, accuracy and deadlines.

  • Must have excellent verbal communication and listening skills.

Working Conditions, MENTAL aND PHYSICAL DEMANDS

  • Works in a typical office environment with adequate lighting and ventilation, and a normal range of temperature and noise level. Requires viewing a computer monitor and keying data into computer system.

  • Medium level of stress

  • Requires computer input on a daily basis but also requires walking, standing, bending, reaching, lifting, or carrying boxes, paper, books for maintaining payroll files.

  • Proficient eye/hand coordination is required for frequent data entry, use of personal computer and calculator.
