Our unique ability to integrate a broad range of products and capabilities is our competitive advantage.Job SummaryReporting to the General Manager, the Executive Assistant has responsibility for managing the administrative needs for site General Manager, President, and OpCo staff. The position requires maintaining confidentiality and is routinely privy to matters that either involves confidential information, sensitive personnel issues, or exposure to confidential and sensitive strategic corporate information. This role requires availability after hours and on weekends as needed to accommodate the dynamic and demanding schedule of our executives.Duties/ResponsibilitiesCoordinates and arranges meetings, prepares agendas, reserves meeting/conference rooms and prepares facility for visitorsSupports site General Manager, President, and OpCo staff geographically located in Park City, Mexico, Connecticut, and CaliforniaAnswers and screens telephone callsGreets scheduled visitors and directs to appropriate area or personRun and maintain visitor log and perform background checks for the visitorsPerforms clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staffCoordinates logistics with high-level meetings both internally and externally; Provides support and assists in the tracking of work projects and the delegation of work assignments to help ensure smooth and effective operationsAttend meetings with or on behalf of the General Manager and take minutes.Arrange travel itineraries, accommodations, and transportation for executives. - Handle any travel-related issues that may arise during off-hoursCollects data and completes research projects; and analyzes issues and concerns and recommends innovative solutionsPrepares outgoing mail and correspondence, including e-mail and faxes. Routes incoming mailOrders and maintains office supplies , including shopping online with possibility of driving to local retail stores.Support multiple functions with administrative tasksOther duties as assigned.QualificationsHigh school diploma required, bachelor's degree in business administration or related field preferred.Minimum of 5 years of experience in an executive administrative support role.Prior experience in supporting multiple site executives.Extensive knowledge of Microsoft Office applications, PC, and data entry experience.Experience with corporate travel web portal preferred.Ability to understand and follow instructions, the ability to manage interruptions, and the ability to work as part of a team, multi-task, and provide strong customer service to internal and external customer.Ability to function well in a high-paced and at times stressful environment.This position requires strong verbal and written communication skills in addition to attention to detail.Legally authorized to work in the United States without company sponsorship. Physical RequirementsThe position may require bending, lifting, reaching, and carrying up to ten pounds; sitting for up to seven hours per day; and standing.Ability to remain seated for long periods of time while working
