The Plant Administrator will provide accurate and timely administrative and general support to all functional areas within the plant.

JOB QUALIFICATIONS

Education

High School Diploma or GED required

Experience

2 years of administrative experience required; experience in EH&S, Quality, or manufacturing preferred.

Fluency in English and Spanish a plus.

JOB DUTIES

  • Prepares and modifies documents including reports, drafts, memos, and correspondence to company personnel and external agencies.

  • Answers phones and refers calls to appropriate personnel or provides requested information.

  • Greets visitors and directs to appropriate personnel. Keeps accurate visitor logs.

  • Responsible for keeping timely and accurate procedures, files, reports, records, and training records (including paper and electronic).

  • Assists with general employee training.

  • Prepares analysis and communications such as tables, spreadsheets, charts, and presentations.

  • Sorts and routes incoming mail and packages and prepares for the outgoing mail, including sending out samples.

  • Provides scheduling support for appointments, meetings, special events, training, testing, etc.

  • Coordinates details (booking rooms, PPE, catering needs) of special events, such as on-site meetings, tours, etc.

  • Maintains inventory of plant supplies and places orders as needed.

  • Offboards employees who are no longer a part of the Essentia team.

  • Coordinates timely completion of drug screens and functional assessments for candidates.

  • Assists with tracking closure of safety action items.

  • May assist with plant audits as needed.

  • Responsible for entering purchase orders for the plant.

  • Assists with processing invoices and payments to vendors and contractors.

  • In partnership with shipping and customer service personnel, may have responsibility to keep track of inventory and enter inventory transactions.

  • Provides other administrative support to various functional areas in the plant as needed.

  • Other duties as assigned.

  • Ability to operate all necessary plant and office equipment required to accomplish job duties such as computers, telephones including voice mail features, fax machines, etc.

  • Ability to wear all required personal protective equipment.

  • Ability to receive and screen office visitors/telephone calls/email correspondence.

  • Ability to cooperate with co-workers and supervisors.

  • Interface with regulatory agencies, insurance representatives and emergency personnel as needed.

  • Ability to provide constructive feedback to employees in a factful manner; ability to respond to common inquiries or complaints; ability to be informative and provide professional assistance when working with the public and co-workers. Including excellent verbal and written communications and the ability to effectively work with confidential information.

  • Strong problem solving and follow up skills.

  • Ability to maintain confidentiality at all times.

  • Excellent verbal and written communication skills.

  • Highly organized; ability to handle multiple priorities at once successfully.

  • Proficient with Microsoft Outlook, Word, PowerPoint and Excel.

  • Ability to work daily, weekends, and extended hours as necessary.

  • Ability to assist in other work related areas, as required.
