Position Description:

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as: planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. A thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based upon overall operation effectiveness.

Major/Essential Functions:

Responsible for overall operation of the 2nd floor faculty suite. Senior Business Assistant to 10 full-time faculty members and several adjunct faculty members. Collaborate with the 3rd Floor Senior Business Assistant to help the Personnel Committee. Collaborate to post advertisements in multiple sources. Collaborate to make all schedule arrangements, including, but not limited to, hotel reservations, dinner reservations, lunch orders, extensive and continuous coordination with the candidate, the personnel committee, the faculty, the student leaders, the Dean’s assistant, the Provost’s assistant (as necessary), and IT Department. Collaborate with lunch setup for the candidates’ presentations. Upload Pcard receipts, and prepare and submit food forms. Available to provide assistance to leaders of specialty centers. Some duties include creation and maintenance of confidential files, schedule entrance and exit interviews between students and Directors, review transcripts to ensure grade and course requirements have been met.

Enter test/quiz questions on Blackboard. Pull essay answers individually from students’ exams to prepare for anonymous grading, then enter the grades on Blackboard. Pull LP assignments from TWEN and Blackboard. Proofread and edit journal articles from faculty on the 2nd floor and other areas as needed. Available to perform edits to update and revise book(s) written by faculty member(s). Proofread and edit books and/or book chapters written by faculty members. Proofread and format exams, administer and check-in exams; complete scantron test keys, weight sheets and trailers; and assist with spreadsheets for grades and grade rolls.

Provide general administrative support by typing, copying, scanning, sorting mail, creating seating charts and maintaining attendance records. Proofread and format letters and class materials. Inventory, order, and maintain supplies for the 2nd floor and copiers. Troubleshoot copier and computer problems and request service as needed. Assist other departments with special projects as requested. Coordinate calendars, set appointments, make room reservations, maintain and manage records and receipts from use of Pcard. Assist during receptionist's absence in administration and provide frequent assistance with faculty requests during 3rd floor senior business assistant's absence. Ability to multi-task, be extremely dependable, trustworthy, organized, accurate and detail-oriented. Ability to work with many different personality types.

Preferred Qualifications:

Proficient with Microsoft Outlook, Word, Excel, PowerPoint, Publisher, and Access. Working knowledge of Word Perfect and Adobe Acrobat.
