Position Description:

Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions:

  • Provides support for the Campus Access & Engagement (CAE) office and CAE staff. Serves as the main point of contact for all guests and visitors and acts as the direct point of contact for the Assistant Vice President, with additional support to the Vice President as needed. This includes managing the AVP’s calendar, coordinating and scheduling meetings, identifying scheduling conflicts, receiving and relaying messages, outsourcing communication internally and externally, and supporting all other administrative functions related to the AVP’s role.

  • Maintains and assists with sponsorship opportunities, CAE scholarships and student and community funding requests. Responsible for monthly P-Card reconciliation and budget preparation for AVP’s operational expenses and travel.

  • Oversees the functions of all CAE spaces in Doak Hall, including ordering office equipment, inventory tracking, ordering supplies, processing work orders, handling reservations, opening and closing spaces, and preparing meeting rooms.

  • Assists with logistics for all CAE special events, programs, and meetings, including room reservations, catering orders, promotional materials, vendor contacts, supply orders, and coordinating delivery timelines.

  • Assists with property inventory tracking, parking, driver approval, golf cart and key management for CAE.

Preferred Qualifications:

  • Demonstrated effective communication and interpersonal skills, with the ability to collaborate professionally.

  • Proven ability to manage multiple projects while consistently meeting deadlines in a dynamic environment.

  • Proficiency in Microsoft Office Suite.

  • Bilingual proficiency and substantial administrative experience within a higher-education executive office are highly desirable.
