As an Executive Coordinator at Health at Home, you will play a vital role in supporting the Senior Leadership Team. This multifaceted position involves providing high-level administrative assistance, managing projects, and ensuring smooth communication and operations within the corporate office. You will handle a range of confidential duties, including organizing meetings, preparing materials, conducting research, managing calendars, and providing executive-level project management and support. This role requires someone who is detail-oriented, proactive, and able to thrive both independently and within a team.

Responsibilities

  • Executive Support: Manage executive calendars, including scheduling meetings, coordinating travel, preparing detailed itineraries, and arranging logistics for events and appointments.

  • Meeting Coordination: Assist in scheduling and organizing board meetings, including preparing agendas, minutes, and supporting materials such as financial statements and operational reports.

  • Communication Liaison: Act as a communication coordinator, distributing relevant information, maintaining office records, and assisting in the preparation of documents and presentations for both internal and external audiences.

  • Office Organization: Ensure office efficiency by maintaining a neat and organized environment, ordering supplies, and ensuring all records are securely stored and transferred according to company policies.

  • Research and Analysis: Conduct research to support department initiatives, prepare data analysis, and design reports and presentations using Google Suite tools (Docs, Sheets, Slides).

  • Event & Project Management: Coordinate logistics for events, including room set-ups, meal arrangements, and ensuring all necessary materials are available. Manage various projects, both independently and with a team of administrative assistants.

Qualifications

  • Education: Bachelor’s Degree highly preferred. High School Diploma or equivalent required.

  • Experience: A minimum of 5 years of high-level executive administrative assistant experience, ideally in a corporate or healthcare environment.

  • Skills:

  • Excellent written, verbal, and interpersonal communication skills.

  • Proficient in Google Suite (Docs, Sheets, Slides, Chat, Google Drive).

  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

  • Ability to type 50+ words per minute.

  • Experience handling confidential information with discretion.

  • Prior experience in scheduling, managing travel, and coordinating meetings or events.

Pay Range

$27.45 - $39.80 /hour
