University of Louisville Unit Specialist I (Faculty Affairs) in Louisville, Kentucky

Minimum Requirements:Bachelor's in a related field or an equivalent combination of education and experience. Grade 4 (Salary)Position Description:The Unit Specialist I, is responsible for providing operational and administrative support to the Department of Pediatrics Faculty Affairs and Human Resources. This position collaborates and partners with Chair Office leadership, division chiefs in 22 sub-specialty divisions, the Human Resources Specialist and the Pediatrics Faculty Affairs team to analyze data to support initiatives to improve upon the department’s academic, clinical, and research missions. There is a significant focus on faculty affairs personnel support, special projects, and communication/liaison functions. Essential Duties and ResponsibilitiesAdministrative and Operational SupportMaintain and administer communications via the Pediatrics HR Service account.Provide comprehensive administrative support to the Pediatrics’ Faculty Affairs Team and HR Specialist, including but not limited to data and forms collection, tracking of Faculty Affairs documents and initiatives, and other time sensitive processes.Serve as the point of contact/liaison for all subspecialty division administrative support staff.Provide high level administrative assistance as needed to the Chairman’s administration for special projects and initiatives.Provide comprehensive support and administrative assistance for (5) Vice Chair Projects as necessary.Faculty Affairs SupportCreate and maintain the faculty itinerary process and provide a point of contact to the division administrative support.Manage and maintain personnel actions for all gratis appointments, reappointments, and the appropriate database.Process and assist with the coordination of all faculty leave types in the HR system.Review and adjust faculty CV’s ensuring compliance with the School of Medicine format and checking for accuracy.Process FTE addendums as necessary for all faculty positions.Generate, distribute and manage the Resident and Medhub evaluations.Assist with the distribution and collection of AR and AWPs.Plan and complete binder preparation for PAT committee meetings.Distribute and collect data for dissemination of Survey Monkey SurveysPartner with Faculty Affairs team to conduct annual promotion tasks and special projects.Human ResourcesTriage staff HR and personnel concerns from the HR Service account to the HR Specialist.Assist with the compilation and distribution of applicant grids for closing requisitions in Workday.Provide backup to the HR Specialist for primary recruiter tasks in Workday, including but not limited to the sorting and review of position candidates and coordinating interview times on behalf of the hiring manager.Preferred QualificationsExperience in Higher Education or Faculty Affairs administration and processes.Excellent Time Management and Project Management skills.Excellent interpersonal, written and oral communication skills.Proficiency in Microsoft Word, PowerPoint, Outlook, Microsoft Teams/Zoom and Adobe DC.CompetenciesStrong written and verbal communications skillsAbility to gather and prepare reports, analyze and interpret documents and view data to find discrepancies.Ability to cultivate and maintain business relationships with all key stakeholders whether internal or external to organization. Ability to have positive interactions with a diverse population.Proven capability of tracking multiple tasks with minimum oversight.
