Job Purpose and Overview

The Operations Support Representative's primary function is to support internal and external customers within Operations. This role will also ensure Operational Excellence through extended knowledge, responsibility and communicating effectively to the appropriate functional teams. Collaborates with local leadership and may support more than one location.

Shift Schedule: Monday - Friday, 8:00am - 4:30pm (On-site and non-remote)

What will you do as an Operations Support Representative at Dawn Foods?

  • Warehouse Scheduling and Coordination:
    • Efficiently schedule and manage warehouse operations to ensure smooth workflow and resource allocation.
    • Ensure timely arrival of carriers and manage any delays to maintain schedule adherence.
    • Oversee and coordinate outbound fleet deliveries to guarantee accurate and timely dispatch.
  • Administrative Support:
    • Handle a variety of administrative tasks, including scheduling appointments, monitoring the Green Mile system, and ensuring compliance with established processes and procedures.
  • Communication and Stakeholder Management:
    • Facilitate effective communication with both internal and external stakeholders to ensure smooth operational flow.
    • Collect, consolidate, and manage data necessary for various operational and strategic needs.
  • Purchase Order Management:
    • Create and manage purchase orders, ensuring accuracy and timely processing to support operational requirements.
  • Driver Packet Verification and Paperwork Processing:
    • Collaborate with local leadership to verify daily driver packets, ensuring accuracy and completeness.
    • Accurately process all inbound receiving paperwork to maintain up-to-date records.
  • Will Call Coordination:
    • Partner with the local operations team to manage the Will Call window, including driver check-ins and reconciling the Will Call log at the end of each day.
  • Compliance and Customer Satisfaction:
    • Monitor and maintain Over, Short, and Damage (OSD) logs to ensure compliance and enhance customer satisfaction.
    • Coordinate with the receiving department to handle billing and mailing invoices for third-party direct deliveries.
  • Shipping and Inventory Management:
    • Complete daily UPS shipments, manage courier deliveries, and schedule customer delivery appointments in collaboration with the transportation team.
    • Assist with year-end inventory audits, including documentation provision and data entry.
  • Support for Warehouse and Transportation Departments:
    • Assist with the preparation of route packets for next day deliveries.
    • Support the warehouse team with scheduling and maintaining the receiving calendar.
    • Help the transportation team with maintaining the Green Mile and Descartes systems.
  • Additional Duties:
    • Perform any other duties as assigned to support both internal and external customers effectively.

What Does It Take to be an Operations Support Representative at Dawn Foods?

Below are the minimum qualifications to be a fit for this job.

  • Minimum of 2+ years of experience in an administrator role
  • Detail oriented and have the ability to work independently and proceed with objectives.
  • A minimum of a high school diploma or GED is required.
  • Attention to Detail
  • Ability to multitask.
  • Maintain confidentiality.
  • Basic understanding of financial principles
  • Proficient in Microsoft Office including but not limited to: Excel, Word, PowerPoint, Outlook, and Teams.

Well-qualified candidates will have:

  • SAP experience
  • Associate degree in business or related field
  • 3-5 years in an Administrator Role
  • Distribution experience
  • Experience supporting Transportation Supervisors/Managers
  • Experience in routing tools.

Compensation:$40,800.00 - $61,200.00 annually based on candidate experience along with a bonus potential of 5.00% of base earnings.
