University of Louisville Department Coordinator IV in Louisville, Kentucky

Minimum Requirements:Bachelors degree in a related field or an equivalent combination of education and experience. (Grade 4 Hourly)Position Description:An immediate opening is available for a Department Coordinator IV in the Center for Cardiometabolic Science in the Envirome Institute. The position will support approximately 70 people. The primary focus will be in supporting the Center Director and 14 other faculty members. Plan and support occasional events, including hosting visiting faculty members. Provide support for electronic scheduling system (of scientific instrumentation). Interact with vendors regarding accounts, shipping, and related issues.SchedulingManage schedule for Director of the Center for Cardiometabolic ScienceAssist with scheduling meetings for the Center’s faculty membersMaintain Center’s electronic instrument use/scheduling systemConference and symposium planning and coordinating Coordinate new job applicant interviews with Center hiring committeesFinancialProcess invoices using third party and university systemsProcess travel reimbursements through university systemsMaintain professional society memberships/subscriptions for Center facultyTravelOrganize travel arrangements for all Center members (faculty, staff, and trainees)Organize travel and accommodations for guests of the CenterTrainingTrain others on department standard operating proceduresTrain and support users of the Center’s electronic scheduling system (for instruments)GeneralMaintain building access for all occupants of Delia Baxter Biomedical Research BuildingArrange for shipping of laboratory samplesCommunicate with outside vendors and visitors regarding Center activitiesWork with faculty and others to prepare grant proposal documents to ensure completion, accuracy, compliance with guidelines, and timely submissionPerform other general administrative duties, as neededPreferred QualificationsFamiliarity with fiscal, purchasing, and travel processes.Proficient in MS OfficeOrganized, task-oriented, flexible. Able to adjust to dynamic needs of the Center and its members. Responsive, communicative, personable.
