Role Profile

Position: Customer Service Representative/Administrative Assistant

Job Location: Louisville, KY (Branham)

Job Type: Full-Time

Status: Non-Exempt

Summary of the Role

Customer Service Representative/Administrative Assistant responsible for the internal admin support to our Customers, Sales Representatives, Customer Service Representatives, Purchasing and Site Supervisors; enabling the order process to drive production efforts, and to manage the customer’s orders under their control and responsibility.

Responsibilities

  • Provide support and data entry for:

  • Customer Sales Orders;

  • Customer’s Purchase Orders received;

  • Customer order status reports;

  • Current Promise Date associated with the customer’s requirements; and

  • Expected "Ship Date" for the orders, into P21 ERP system.

  • Monitor backorders and ensure quick delivery to Production once all items are received.

  • Make envelopes for order packets that will be sent to customers with hoses as required.

  • Provide Administrative Assistance to Inside Sales

  • Answering incoming phone calls.

  • Scanning all order/invoice packets to the Branham Shared Drive, accurately naming the files for easy retrieval by sales, accounting, quality and operations personnel as needed.

  • Filing paperwork packets to meet retention policy.

  • Communicate regularly with the inside sales team, production and Operations Manager.

  • Use tools in place to help drive on time delivery such as P21 Portals and Hot Board.

  • Additional Responsibilities:

  • Develop and maintain a thorough knowledge of Branham’s products, processes, services and pricing structure(s).

  • Other duties, as assigned.

Skills and Abilities

  • Must be self-motivated and able to work independently to meet or exceed goals.

  • Must communicate with internal and external customers in a professional manner.

  • Excellent verbal and written communication skills.

  • Must be organized with good time management skills.

  • Possess proven analytical/problem solving solutions for the customer and the company.

  • Computer proficiency in Windows and Microsoft applications.

  • Must have reliable transportation.

  • Experience with fluid sealing and conveying products (hose, fittings, gaskets and expansion joints) a plus

Minimum Qualifications

  • Legally eligible to work in the United States

  • Must be 18 years of age or older

  • High School Diploma or equivalent

  • Must successfully complete pre-employment testing

  • English fluency is needed to perform the job duties safely and effectively
