As a Client Service Representative you will focus on matching existing talent to open client requisitions. This role will also focus on building relationships with staff and clients and drive service that will lead to strong business relationships with Party Staff clients. While the focus will be on client outreach and staffing, this role will also serve as a tertiary support to the recruiting functions as outlined below.

Role and Responsibilities include but are not limited to:

Client Service functions:

  • Maintains positive working relationships with existing and prospective clients with timely responses.

  • Client outreach and sales efforts to achieve new or additional orders.

  • Follow-up communications with clients to ensure complete fulfillment and client satisfaction.

  • Generating calls to support sales efforts through canvasing for potential new clients and sales opportunities with existing clients.

  • Collaborate with management and sales department to communicate clients’ needs and expectations.

  • Communicating staffing needs to talent pipeline to match the right talent for the job.

  • Aid in fulfillment of sales target objectives and service performance requirements through new and existing customer sales by providing excellent service and customer satisfaction.

  • Cold Calling: Contact existing and prospective clients to secure and place new orders.

  • Proficient with social media platforms, including posting reels, photos, polls, and other marketing materials.

  • Travel will be required to attend client events to assist with check-ins, greeting staff, and ensuring quality control; up to 10%.

Staffing functions:

  • Greeting applicants, staff, and guests with the ability and approach to foster positive working relationships.

  • Oversee the staffing process and ensure fulfillment of all client event orders, and addressing or escalating fulfillment bottlenecks as needed.

  • Fostering great relationships with applicants and staffing peers. Confirming event staff on orders and ensuring that they have access to all necessary event information.

  • Meet with department manager on a regular basis to review staffing needs and provide updates.

  • Inputting and reviewing client event orders with accurate attention to detail (i.e., event info, bill rates, contract clients, attestation form, security clearance, staffing assignments, client specific forms, etc.).

  • Fielding a high volume of incoming phone calls and emails, responding timely and escalating as appropriate.

  • Addressing people related issues and concerns relating to disciplinary action, performance issues, general employee questions, and escalating HR related matters as needed.

  • Reviewing and updating employee files on a regular basis.

  • Maintaining confidentiality and compliance with policies and procedures as set forth by the company handbook.

  • Organize and participate in ongoing department training for staff.

  • Participating in an on-call rotation that involves some weekends, weekday nights, and holidays.

  • Other duties, as assigned from time to time.

Recruiting functions:

  • Assist with recruitment as needed, to support sourcing, scheduling, interviewing, and onboarding candidates.

  • Aid management in directing orientations for new hires.

  • Ensure compliance in handling employment authorization forms and documents.

  • Other duties, as assigned from time to time.

QUALIFICATIONS, EDUCATION, SKILLS, AND PHYSICAL/MENTAL DEMANDS

Qualifications and Education Requirements

  • Requires a high school degree or equivalent.

  • Minimum of 1-3 years prior client outreach and staffing experience, preferred. Ideally within the hospitality industry.

Knowledge/Skills

  • Proficient with Microsoft Office Suite.

  • Experience with and/or ability to learn Mac and Mac based programs.

  • Ability to organize, multitask, prioritize, and work efficiently under pressure.

  • Ability to work independently and adapt quickly.

  • Strong communication/presentation skills, both written and verbal. The ability to convey information effectively and appropriately.

  • Must be detail oriented and be able to take direction.

  • Must be service oriented with a positive attitude.

  • Familiarity with HR databases, Applicant Tracking Systems (ATS), and Candidate Management Systems (CMS).

  • Active Listening – Ability to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.

  • Personnel and Human Resources – Knowledge of principles and procedures for personnel recruitment, selection, training, and personnel information systems.

  • Administrative – Knowledge of administrative and office procedures and sustems such as Word processing, managing files and records, and workplace terminology.

  • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

  • Instructing – Ability to coordinate, conduct, and teach others how to do something.

  • Time Management – Ability to manage one’s own time and the time of others.

  • Team Player – Ability to collaborate and offer solutions to the department.
