UCLA Health Administrative Assistant II - Operating Room - Jules Stein Eye Institute in Los Angeles, California

Description

Under the direction of management team, the incumbent will provide administrative assistance and to assist patient care in the department. The incumbent will also have the responsibility of scheduling, FSR, purchasing functions of the department as keep track of inventory items and office supplies. The incumbent will cover for sick calls, vacation time and other administrative duties in all other areas (as a FLOAT)and assist in other duties assigned by management. The incumbent will follow the principles set forth in the UCLA mission statements to deliver the highest quality of care and service possible.

Salary Range: $25.60 - $36.33 hourly

Qualifications

  • Triage incoming phone calls, mail and visitors.

  • Assist charge nurse in communicating with the surgical team members and other departments for smooth flow of patient care.

  • Communicate time changes, cancellations and room delays to the appropriate team members.

  • Greets patients, family, and visitors in a cordial business-like manner.

  • Ensure all surgical patients are checked in, and record time of arrival by utilizing Care Connect System.

  • Confirm spelling of name and date of birth with surgical patients.

  • Answer phones, check messages and respond as appropriate.

  • Maintain lines of communication with other areas within the department.

  • Track patients' surgery status by utilizing Care Connect real time.

  • Maintain an accurate and updated surgery schedule.

  • Utilize the appointment scheduling computer program to schedule laser procedure visits in a timely and accurate manner.

  • Communicate effectively with various surgery schedulers for missing paper works and to obtain necessary medical documentation.

  • Ensure all PMD clearance and other required medical documentation is available prior to screening.

  • Assist in processing ICAP documentation when needed.

  • Maintain and constantly update the progress of the surgery schedule at the control desk.

  • Audit OR records and charges for accuracy and ensure all records are collected and submitted on time for billing daily.

  • Monitor operation of the copy machine, fax, printer and computer. Assist with troubleshooting and routine maintenance as required.

  • Act as a liaison between fire department and the department during the fire and other disaster situation. Keep all other staff informed of most update progress.

  • Submit facilities service requests when needed and follow up completion.

  • Assist in miscellaneous related duties as assigned.

  • Sort and distribute incoming mail daily.

  • Prior experience administrative experience in a hospital and/or inpatient or outpatient perioperative department preferred.
