Overview The Office of the President and Provost at Utah State University is seeking a qualified part time Front Office Receptionist. This outgoing and positive individual will serve as the face of the Office of the President and Provost. The Front Desk Receptionist is the first point of contact for visitors and plays a pivotal role in ensuring a welcoming and professional atmosphere. This individual is responsible for greeting guests, managing front desk activities, coordinating communication, and supporting daily office operations.

This position is expected to work up to 29 hours per week. Some flexibility is available dependent on the candidate and the needs of the department.

Responsibilities

  • Manage Visitor/Guest Flow

  • Monitor and control the secure entry and exit of visitors and guests.

  • Ensure a smooth and efficient flow of people through the reception area.
  • Greet Visitors

  • Welcome visitors warmly and professionally.

  • Provide visitors with information or directions as needed.
  • Manage Conference Room Scheduling/Appointments.

  • Oversee the reservation of conference rooms.

  • Coordinate the scheduling of meetings and appointments.
  • Ensure that conference rooms are prepared for each meeting.
  • Handle Correspondence

  • Manage incoming and outgoing mail and emails.

  • Distribute correspondence to appropriate staff members.
  • Prepare and send out letters, memos, and packages as required.

Qualifications Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • Prior experience in a receptionist or customer service role. Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office Suite and other office management software.

  • Understanding of customer service practices and principles.
  • Knowledge of security and safety procedures for managing visitor flow.
  • Strong communication skills, both verbal and written.
  • Excellent organizational and multitasking skills.
  • Capability to manage stressful situations with composure.
  • Aptitude for maintaining confidentiality of sensitive information.
  • Ability to prioritize tasks and manage time effectively.
  • Attention to detail to ensure accuracy in all administrative tasks.
  • Ability to work independently and as part of a team.
