KBR’s Mission Technology Solutions, Defense & Technology – Maritime Division is seeking a Senior Administrative Assistant with a proven background in supporting Department of Defense (DoD) operations, particularly with the Department of the Navy (DoN), to join our team in Lexington Park, MD. This crucial role provides comprehensive administrative support to Senior Management, ensuring smooth operations across multiple functions. The ideal candidate will possess extensive experience working with DoD travel systems, including Navy-specific regulations and reporting tools, and will manage a wide range of administrative tasks, such as travel coordination, expense reporting, meeting documentation, event coordination, and deliverable management.

This is a full-time, on-site position, Monday through Friday.

Responsibilities:

  • Oversee and manage travel arrangements, ensuring compliance with JTR (Joint Travel Regulations) and GSA travel guidelines. This includes preparing detailed travel itineraries, processing travel documents, and maintaining accurate travel records.

  • Expertly use and manage DoN-specific travel reporting systems and tools (such as Deltek Costpoint and Time & Expense) to track, report, and ensure proper documentation for all travel expenses and itineraries. Ensure alignment with travel policies and reporting requirements.

  • Provide high-level administrative support to senior leadership, including expense reporting, documenting meeting notes, coordinating events, and overseeing the delivery of key documents.

  • Prepare and submit critical contract deliverables to Government customers, respond to data calls, prepare statistical reports, and manage correspondence, conference calls, and meeting scheduling.

  • Manage processes related to security clearances, visit requests, and travel document compliance, ensuring adherence to DoD protocols.

  • May involve supervising and training lower-level clerical staff to streamline administrative workflows.

  • Serve as a liaison between senior management and DoD/DoN stakeholders to ensure effective coordination and the timely delivery of all administrative functions.

Basic Qualifications:

Clearance & Citizenship: Must be a U.S. Citizen with an active/current DoD Secret Clearance

Experience: At least 8+ years of experience ideally supporting Government Contractors, the DoD, or Department of the Navy operations, with a strong background in managing travel, and reporting systems.

Education: High School Diploma required.

Preferred Qualifications:

  • Strong familiarity with Department of Navy travel regulations and systems, including the JTR and GSA travel guidelines, as well as Deltek Costpoint and Time & Expense for travel tracking, reporting, and expense submission.

  • Direct experience working with DoD or Department of Navy contracts, including travel and administrative support functions.

  • Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Scheduled Weekly Hours: 40 hours/week

Compensation: This is an SCA Position. $36.12/HR.

Additional Compensation: KBR may offer bonuses, commissions, or other forms of compensation to certain job titles or levels per internal policy or contractual designation. Additional compensation may be in the form of a sign-on bonus, relocation benefits, short-term incentives, long-term incentives, or discretionary payments for exceptional performance.
