Flight Test Facility, Lexington, MA

The mission of the Flight Test Facility is to support research and development programs for national security at MIT Lincoln Laboratory by providing unique airborne test bed platforms, state-of-the-art test facilities and expert integration and flight test risk management solutions. Flight Test Facility Research aircraft are flown, maintained, and managed by a professional staff of pilots, certified maintenance technicians, and administrative personnel. The Flight Test Facility's first priority is safety of flight. All flight operations are conducted by using procedures and equipment that meets or exceeds all FAA requirements. The Flight Test Facility is an approved FAA Part 145 Repair Station and currently operates and maintains seven highly modified aircraft.

Description & Principal Duties and Responsibilities: The Administrative Assistant is an essential member of the highly dynamic Flight Test Facility team and plays a crucial role in the daily operations of the facility, requiring interaction with groups and organizations throughout the Laboratory. Responsibilities encompass a variety of administrative tasks essential to the Flight Test Facility’s safety, productivity, and efficiency.

Responsibilities will include maintaining electronic calendars, coordinating meetings via Zoom or TEAMS, data entry, tracking aircraft fuel consumption, maintaining office supplies, initiating and tracking purchases with SAP, initiating and tracking hangar work orders, recording hourly employee time sheets. They will regularly utilize Microsoft Office Windows applications, SAP, Zoom, TEAMS, OneDrive, MIT Lincoln Laboratory Business Intelligence Suite (LLBIS), Concur, and Excel.

  • Have outstanding organizational skills with excellent attention to detail

    Education and Experience: High School Graduate Degree or equivalent, post high school education preferred. At least 3 years of direct related experience required (office management, administrative assistant, etc.). Proficient with Outlook and Excel. Experience with SAP, ZOOM, TEAMS, One Drive, and Concur is preferred.

    The position is 100% onsite Monday through Friday, primarily conducted in an office space inside and aircraft hangar.
