LC State invites applications for the position of Administrative Assistant 1.

Salary and rank based on experience and qualifications: \$16.70 - \$17.40 per hour (10-month position)

Required Qualifications:

  • Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception;
  • Good knowledge of gathering and compiling data; composing emails, letters, forms, reports, and templates;
  • Good knowledge of balancing and coordinating a workload for multiple projects
  • Schedule and coordinate travel for the Transition Coordinator; prepare travel forms; process state purchasing card transactions.
  • Respond to inquiries and explain program services, policies, and procedures to internal/external customers.
  • Monitor budgets and prepare financial transactions.
  • Collaborate and assist Transition Coordinator in implementing program directives and completing large projects.
  • Provide administrative support during event and presentation planning.

Preferred Qualifications:

  • AA degree with experience in teaching, training, or counseling
  • Experience with Lewis-Clark State College procedures and software programs, such as, Colleague
  • Experience with WordPress, HTML, CSS3 or experience with Web Editing Tools/Converting Images and Text.
  • Experience with math, accounting and/or QuickBooks
  • Excellent communication skills and Strong writing /proofreading skills required
  • Experience with Microsoft Office (Word, Excel and PowerPoint)
  • Advanced computer proficiency using Odyssey, Access and Outlook
  • Able to process financial transactions quickly and accurately
  • Experience in customer service
  • Experience organizing, setting priorities, and multitasking with minimal supervision
  • Excellent interpersonal skills and a friendly, positive attitude
  • Ability to analyze problems and resolve conflicts
  • Ability to function autonomously in a highly visible position that is subject to frequent interruptions
  • Able to demonstrate strong analytical problem solving, and critical thinking skills

Responsibilities:

This administrative support position will help and provide support to the Transition Coordinator and the Learning Resource Center Manager with their administrative load including travel, Jaeggar, budgets, p-cards, and other administrative work.

  1. Use a multifunction phone to answer, screen, and refer/transfer telephone calls
  2. Ability to use computers, and other office machines
  3. Maintain and manage reports and statistical data programs
  4. Enter, track, and process purchase requests, including annual, reoccurring, and ad hoc requests
  5. Process and arrange travel, requisitions, and other office paperwork
  6. Manage supplies and office inventory
  7. Maintain files, filing system and program inventory
  8. Budget maintenance
  9. Maintain program calendar, calendar for CTE CSM, schedule appointments, set up video conferencing calls, and monitor action items
  10. Compose and edit correspondence, newsletters, award nominations, student recommendations, grant applications, reports, and other written communications / materials as needed
  11. Archive and update posters, fliers, brochures, social media, website, and other materials
  12. Serve as a resource for CTE Learning Resource Center (LRC) policies and procedures
  13. Assist students with coursework
  14. Oversee and train tutors as necessary
  15. Prepare content for web and update the CTE LRC website
  16. Schedule and coordinate travel for the Transition Coordinator; prepare travel forms; process state purchasing card transactions.
  17. Respond to inquiries and explain program s ervices, policies, and procedures to internal/external customers.
  18. Monitor budgets and prepare financial transactions.
  19. Collaborate and assist Transition Coordinator in implementing program directives and completing large projects.
  20. Provide administrative support during event and presentation planning.
  21. Additional duties include direct and indirect activities to support recruitment and retention of students.
