Summary
This role will perform a hybrid of responsibilities of both the Warehouse Associate and Operations Coordinator jobs and will handle both operational and administrative responsibilities in the Regional Distribution Center (RDC). This role requires proficiency in receiving and processing return items in a warehouse environment while also handling and making determinations on retailer claims, responding to retailer inquiries as they relate to Regional Distribution Center parts operations, and ensuring that warehouse procedures are followed efficiently. The individual will focus on supporting both warehouse performance and administrative needs while adhering to safety standards and quality protocols. It is estimated that the individual will spend approximately 70% of their time as the Operations Coordinator and approximately 30% of their time as a Warehouse Associate; the time spent on each job’s responsibilities will depend on the workload amount in each area on a daily basis.
Primary Responsibilities
Warehouse Associate (approximately 30% of time)
Receives and stocks inbound orders while noting quantities and any discrepancies in quantities, as well as recording any damages. (10%)
Processes scraps (parts) and returns from retailers, ensuring efficient handling of parts designated for destruction and coordinating the return of items sent to the RDC by mistake or damaged parts that retailers wish to have returned. (10%)
Scans returnable assets back into inventory. (5%)
Assists with inventory cycle counts and performs re-warehousing moves as required. (5%)
Operations Coordinator (approximately 70% of time)
Provides timely resolution for retailer concerns and inquiries including parts orders and returns, claims, billing, credits, shipment tracing, discrepancies, etc. Makes mutually beneficial determinations concerning claims exceptions and discrepancies, which requires analytical review and approval or denial based on case circumstances. (20%)
Processes and maintains retailer parts return claims by providing professional and timely communication and determining credit, debit, or cancellation outcomes as necessary. (15%)
Provides professional guidance to retailers and Subaru of America (SOA) Field team management to ensure that return procedures are addressed and followed via written and verbal communication. Works alongside Warehouse Returns Leads to ensure that established parts return procedures are followed and completed. (15%)
Maintains responsibility for weekly payroll and exception time entry and submitting vendor and supplier invoices for payment in a timely manner. Coordinates all activities related to the facility property management company, as well as with various outside vendors, contractors, and suppliers. (10%)
Maintains responsibility for electronic storage filing of payroll, attendance, and accounting records per the Subaru retention policy. (4%)
Follows administrative Standard Operating Procedures and collaborates on creating new procedures as needs arise. (3%)
Communicates and manages return of campaign and recall parts as per the Standard Operating Procedure. (3%)
Additional Responsibilities
Actively participates in the RDC Safety Committee. Monitors and reports on AED Monthly Readiness checks and ensures that facility Emergency Responders are up to date on First Aid, CPR, and AED training. Maintains facility OSHA log and updates materials in the RDC Resource Center as directed by the RDC Manager.
Work with freight companies to process and close retailer freight claims and trace shipments.
Performs additional support activities to include ordering and maintaining office, janitorial, and shipping supplies; preparing correspondence; answering phones; troubleshooting office equipment issues; scheduling meetings; maintaining local spending account, etc.

Preferred, but not an initial requirement: Basic knowledge of Oracle, Qlik, Agile, Manhattan Associates, and Red Prairie. Knowledge becomes a requirement after initial hire and training.
Ability to operate hand-held and fork truck mounted radio frequency terminals.
Ability to operate various warehouse power-operated and material-handling equipment.
Ability to pass and satisfactorily complete training program for powered material-handling equipment.
EDUCATION/EXPERIENCE REQUIREMENTS: High School Diploma/GED or AA/AS with 4-6 years of related experience.
WORK ENVIRONMENT
Required Travel: 5%
Ability to lift up to 50lbs & bending and standing for extended periods
Warehouse and office environment with potential overtime including weekends
Prolonged sitting at desk and working on computer.

COMPENSATION: The recruiting base salary range for this full-time position is $46300 - 65000 / year. Within the range, individual pay is determined by factors, including job-related skills, experience, and relevant education or training.
